Our top-rated organization is looking to add an Executive Assistant to UMG-Administration located in Farmington, CT. At the UCHC, this class is accountable for independently performing a full range of administrative and/or program functions for the Chief Operating Officer/VP of Ambulatory Operations. SUPERVISION EXERCISED: May lead/supervise lower employers as assigned. EXAMPLES OF DUTIES: • Coordinates executive calendars, schedules meetings, resolves conflicts, and prepares meeting materials. • Composes complex correspondence and prepares narrative or statistical reports using judgment and discretion. • Oversees office workflow, sets priorities, and establishes procedures to ensure operational efficiency. • Supervises support staff, including scheduling, assigning, and reviewing work. • Acts as a resource to staff on administrative matters. • Serves as liaison with faculty, agencies, and external officials regarding unit policies and procedures. • Makes complex travel arrangements for domestic and international engagements. • Greets and coordinates guests, ensuring a professional and welcoming experience. • Assists in interviewing and hiring of support staff. • Orders and maintains office supplies, uniforms, and other operational materials for staff. • Coordinates faculty appointment and promotion procedures. • Acts on behalf of the department head by interpreting policies and relieving administrative burden. • Makes decisions in the supervisor's absence within prescribed limits of authority. • Performs related duties as required. MINIMUM QUALIFICATION REQUIRED KNOWLEDGE, SKILL AND ABILITY: Considerable knowledge of office administration and management, including scheduling and Microsoft Teams; considerable knowledge of the department's policies and procedures; considerable knowledge of proper grammar, punctuation and spelling; considerable knowledge of business communications; knowledge of business math; considerable interpersonal skills; considerable oral and written communication skills; ability to operate office equipment which may include word processors, computer terminals or other automated equipment; some supervisory ability. EXPERIENCE AND TRAINING: General Experience: Four (4) years of experience above the routine clerk level in office support or secretarial work. Substitutions Allowed: College training in the Secretarial Sciences may be substituted for the General Experience on the basis of 15 semester hours equaling six (6) months of experience to a maximum of two (2) years. Special Experience: One (1) year of the General Experience must have been at a level comparable to Administrative Program Assistant 2. Preferred Experience: • Five (5) years of experience with Microsoft Suite, including Outlook, Visio, PowerPoint. • Five (5) years of experience managing and coordinating executive calendars. SCHEDULE: 40 hours per week, Monday - Friday, 8:00 am to 5:00 pm with a 60-minute unpaid meal break. May be required to work some holidays or off shifts dependent upon departmental needs.
