The Manager, Facilities & Administration is a people-focused operational partner responsible for the efficient execution of administrative, facilities, and project-based operations in a fast-paced, creative environment. Partnering closely with senior leadership, this role ensures operational excellence, strong employee experiences, and well-managed workplaces that support collaboration, productivity, and culture. The ideal candidate brings structure, discretion, and adaptability-allowing leaders and teams to focus on strategic priorities and creative impact. Leadership & Administrative Management • Partner with senior leaders across facilities, real estate, facility operations and project teams to support execution of operational initiatives, business priorities and business objectives • Serve as a trusted gatekeeper and central point of contact between executives, teams, and external partners • Own and manage complex executive and team calendars across global time zones • Maintain strict confidentiality while handling sensitive business and personnel information • Assist in operational planning, tracking progress against strategic goals, and coordinating cross-functional initiatives • Prepare materials, reports, and summaries to support leadership decision-making • Support process improvement efforts across administrative, facilities, and workplace operations Facilities & Workplace Operations • Support day-to-day facilities operations, partnering with internal teams and vendors to maintain a productive, safe, and welcoming workplace • Coordinate vendor relationships, contracts, and invoices related to facilities and office services • Support meeting room coordination and on-site logistics for leadership and team events • Travel quarterly to manage in-person leadership meetings, offsites, and workplace initiatives Meeting & Executive Support • Coordinate and manage meetings across global time zones, prioritizing strategic and business-critical engagements • Own recurring leadership and team meetings including weekly staff meetings, 1:1s, and monthly/quarterly all-hands • Partner with internal teams and external partners to schedule cross-functional and cross-executive meetings • Prepare meeting materials, coordinate content from contributors, and capture and distribute action items • Maintain team travel, vacation, and availability calendars Travel, Events & Offsite Planning • Lead end-to-end domestic and international travel planning, including flights, accommodations, transportation, visas, and passports • Create detailed travel itineraries and manage last-minute changes with minimal disruption • Plan and execute annual offsites and leadership events, including: • Strategic agenda development with leadership • Venue sourcing and contract coordination • Travel and accommodation logistics • Meal planning with dietary and accessibility considerations • Team-building activities and engagement programming • Budget tracking and post-event debriefs to capture feedback and improvements Expense, Budget & Purchase Order Management • Prepare, submit, audit, and approve monthly expense reports for leaders • Create, track, and reconcile purchase orders and invoices, ensuring accuracy and timely payment • Act as liaison between vendors, procurement, and internal teams to resolve discrepancies • Support budget tracking and forecasting for facilities, travel, events, and administrative expenses Team Support, Culture & Communication • Support onboarding initiatives and provide ongoing administrative and project support • Lead and support team engagement initiatives, including: • Creative celebrations for teams • Thoughtfully designed team and offsite agendas • Inclusive team-building activities • Serve as a trusted liaison between leadership and employees, ensuring clear communication and accessibility Perks Playlist: Join an entrepreneurial, global organization where authenticity, boldness, creativity, connection, drive, and insight aren't just values-they're how we work every day.
