Job Description: The Assistant Site Manager provides support for the office independently and with minimal supervision. Performs other diverse duties as requested or required under the general and direct supervision of the site manager. Primary Duties & Responsibilities: Management Coordinates the daily administrative duties of the site on a day-to-day basis. Assist in developing, implementing, and revising policies and procedures to assure that everyone within their office adheres to the high standards of patient care expected. Assist with P&L, including accountability to associated budget management. Assists in training qualified team members, serving as a catalyst and mentor for motivating productivity, innovation, high employee morale, and commitment to the organization. Directly supervises office team members and proactively manages their performance and development, coordinating with the Site Manager as it relates to performance feedback, appraisals, and corrective actions. Assist in conducting regular staff meetings to communicate new ideas, resolve problems, obtain feedback, and maintain the staff's overall effectiveness. Acts as the Office Ambassador by responding to doctor, patient, and employee grievances, complaints, and inquiries and seeks assistance, when necessary, from the Site Manager. Administrative/Clerical To create a positive and professional first impression for the practice and to show the patients a “we care” attitude. Schedule appointments and assist with the scheduling of any additional testing directed by the physician. Ensure all required patient paperwork is compiled for that day’s appointments. Collect co-pays and past balances at the time of check-in and enter the batch for the day in Practice Management. Reviews for completeness and accuracy and then enters required patient demographics and clinical information into Practice Management and EHR. Scan the patient’s driver’s license and insurance card(s) front and back into Ntierprise. Ensure that all required referrals are obtained, scanned into the EMR, and linked to that day’s appointment within Practice Management. Reconcile payment batches at the end of every day and turn them into Site Manager. Schedule follow-up procedures and coordinate any local ASC cases. Assist patients with the completion of the Phreesia registration system. Minimum of two (2) years of front office experience, preferably in a medical setting. 1-2 years of supervisory experience is strongly suggested, preferably in a medical setting. Direct Reports: TBD. Knowledge, Competencies & Skills: Excellent customer service skills. Proficient knowledge of Medical Terminology; ICD-9 and CPT-4 Codes. Strong written, typing, verbal, and interpersonal skills. Proficient computer software and database skills. Strong attention to detail. Ability to multi-task, problem-solve, and work in a fast-paced environment. Outstanding coaching skills with the ability to assist Site Manager with leading staff to success. Must demonstrate a caring, compassionate, and patient attitude. Ability to type a minimum of 40 words per minute. Travel: 25% travel required within the geographic region. Physical Requirements for the Job: Able to sit, stand and or walk throughout the day. Intermittently required to stoop, bend, speak, and listen. Frequently lift and or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
