Front Desk Receptionist Position Summary The Front Desk Receptionist serves as the first point of contact for clients, visitors, and staff. This role is responsible for providing excellent customer service, managing front desk operations, coordinating appointments, and ensuring the smooth flow of daily activities in a behavioral health setting. The ideal candidate is professional, organized, compassionate, and able to maintain confidentiality at all times. Key Responsibilities • Greet clients and visitors promptly and warmly upon arrival. • Answer and route phone calls, take messages, and respond to general inquiries. • Check clients in and out for appointments. • Verify insurance information, update client demographics, and collect co-pays when applicable. • Assist with scheduling, rescheduling, and canceling appointments. • Maintain the front lobby area to ensure a clean and welcoming environment. • Support clinicians and administrative staff with clerical tasks as needed. • Ensure compliance with HIPAA and agency confidentiality policies. • Handle incoming and outgoing mail and deliveries. • Monitor and respond to general emails and appointment requests. • Manage daily sign-in sheets and maintain accurate attendance logs. • Assist with onboarding paperwork for new clients when needed. Qualifications • High school diploma or equivalent required; associate degree preferred. • Previous experience in a healthcare or behavioral health setting preferred. • Strong communication and customer service skills. • Ability to multitask in a fast-paced environment. • Proficient in Microsoft Office and electronic health record (EHR) systems (training available). • Ability to maintain professionalism, discretion, and confidentiality. • Strong organizational and problem-solving skills. Work Environment • Front desk setting within an outpatient behavioral health clinic. • Frequent interaction with clients experiencing emotional or mental health challenges. • Must be comfortable handling sensitive information and assisting in crisis situations when necessary (training provided). Physical Requirements • Ability to sit for extended periods. • Ability to lift up to 15 pounds (files, office supplies). Monday - Friday 8:00 am - 4:00 pm
