Summary: The Administrative Specialist will play a key role as part of the Outpatient Psychiatry Call Center Team performing a variety of administrative functions. Under the general supervision of the Call Center Team (CCT) Supervisor, this role will primarily be responsible for handling incoming calls from returning patients seeking appointments and information. The CCT team is committed to delivering exceptional customer service, documenting patient interaction, scheduling appointments from electronic requests, and maintaining daily reports. Additionally, the team actively participates in special projects and operational support, contributes to the development of departmental and program standards, and provides professional assistance to physicians, nursing staff, clinics, and management. Work Schedule: Monday- Friday, 8:00 AM to 4:30 PM. This is a hybrid position; however, on-site presence may be required based on department and patient needs. Responsibilities: • Greet and assist all patients in a professional manner through both incoming and outgoing calls • Schedule patient-requested appointments from calls and clinical team electronic requests efficiently • Maintain daily and weekly reports in accordance with department guidelines • Mail any required documents to patients in a timely manner • Review and respond to voicemail and emails promptly ensuring clear communication • Participate in department quality improvement activities • Attend staff meetings as required to stay aligned with team goals and department objectives • Communicate effectively with both direct and indirect team members to problem-solve collaboratively as a unit Other Information Other information: Education Requirements: High school diploma or GED required; higher-level degree may satisfy this requirement. Licensure/Certification Requirements: No licensure or certification required. Professional Experience Requirements: Two (2) years of clerical or administrative experience If Bachelor's degree, no years of clerical or administrative experience If Associate's degree, one (1) year of clerical or administrative experience Knowledge/Skills/and Abilities Requirements: Customer Focus: makes the customer and their needs their top priority and goes the extra mile to satisfy their customers.
