The Administrative Manager works provides complex specialized administrative and operational support for Office of the Chief Data Officer team. Serving as the first point of contact for internal and external partners including OCDO staff, IT, Facilities, and HR, the Administrative Manager role is responsible for planning, coordinating, and implementing a wide range of administrative, project, and program activities, including space, supply and equipment coordination, planning of team-wide and community events, and onboarding processes. Applies sound judgment in interpreting and applying institutional policies, handling sensitive and confidential information, and representing the department with professionalism and discretion. Manages administrative operations, resolves operational issues as they arise, and collaborates closely with other administrative team members. Responsibilities • Serve as the primary administrative point of contact for OCDO staff members, providing day-to-day operational support. • Manage administrative operations, identifying and resolving operational issues, developing processes for common issues to streamline operations, and escalating as appropriate. • Manage, track and coordinate our staff professional development funding usage, track training and certification requirements for staff ensuring compliance with OCDO and Hutch policies as well as team-wide deadlines associated with Fred Hutch processes (such as enterprise-wide training requirements). • Support the Research Administration and Financial Manager in validation of time reporting, payroll, reconciling expense reports and reimbursements, budgets and effort certification processes. • Develop, implement, and document group policies, procedures, and standard operating procedures (SOPs) related to administrative processes such as management of software subscriptions and licenses, support communication and rollout of new or updated processes. • Serve as a resource and coordinate with Human Resources and Payroll as needed to ensure compliance with Fred Hutch policies, mainintaining records of job descriptions, hiring plans and internal templates for hiring • Coordinate space and equipment planning and utilization, liaise with Facilities, including assessing current needs, overseeing acquisition, and anticipating and planning for future requirements. • Plan, implement, and manage team-wide and internal/external-facing events, including scheduling, coordinating logistics, and overseeing procurement of catering, equipment, and promotional materials. This includes quarterly co-working events internal to our team, as well as community events we hold. • Support onboarding and offboarding activities for team employees, ensuring new staff receive appropriate information, access, and resources to successfully integrate into the team. • Assist with maintaining OCDO content on the Fred Hutch intranet and collaborate with technical leads to ensure content accuracy and timeliness. • Support our Training group in logistics around class events. • Foster a supportive and inclusive work environment by serving as an approachable resource for staff concerns and help navigate workplace processes and policies. Qualifications MINIMUM QUALIFICATIONS: • BA/BS required. • Minimum of five years of administrative management experience in a research or academic setting. PREFERRED QUALIFICATIONS: • Excellent written and verbal communication skills. • Strong organizational and interpersonal skills. • High degree of proactiveness, self-direction, and adaptability. • Commitment to excellent customer service. The annual base salary range for this position is from $84,490 to $126,714, and pay offered will be based on experience and qualifications. This position may be eligible for relocation assistance.Although Fred Hutch is not sponsoring most H-1B visas at this time, candidates who already hold an H-1B sponsored by another organization and are currently in the U.S. may be eligible for this position.Fred Hutchinson Cancer Center offers employees a comprehensive benefits package designed to enhance health, well-being, and financial security.
