We are seeking a detail-driven Order Management & Purchasing Operations Coordinator to support internal sales and purchasing operations. This is a hands-on execution role focused on order entry, purchase order coordination, teardown traceability, inbound tracking, and internal operational support. The role is central to keeping orders moving accurately and on time across multiple systems and internal teams. This position does not involve pricing strategy, demand planning, or customer relationship management. It is an internal operations role with clear processes and defined guardrails. Key ResponsibilitiesOrder & Purchasing Execution Enter customer sales orders accurately in Acctivate ERP Validate order details including part numbers, quantities, pricing, ship methods, and requested dates Stage purchase orders using Acctivate’s PO Wizard and route for release Support approximately 11 sales orders per day Maintain real-time order and PO status visibility Teardown Traceability & Batch Management Compile and maintain teardown batches in Excel to ensure full traceability where ERP limitations exist Maintain lineage from customer machine serial numbers and MT-MODs to harvested parts and quantities Reconcile harvested, offered, and ordered quantities Support 3–4 teardown batches per week Offer & Engineering Support (Internal) Compile new offer-eligible inventory and supporting data Prepare internal packets for engineering analysis and historical background checks Track what inventory has been offered, is pending, rejected (with reasons), or ordered Inbound PO Tracking & Supplier Coordination Track supplier confirmations, ETAs, partial shipments, and backorders Communicate directly with suppliers as needed and coordinate internally with buyers Escalate delivery risks or discrepancies promptly Reporting & Data Integrity Maintain clean, auditable records across ERP, Excel, and internal systems Support monthly internal reporting related to harvested and ordered inventory Ensure data accuracy, completeness, and consistency Work Schedule Full-time role (40–45 hours/week) Flexible start time between 6:00 AM – 9:00 AM PT One-hour lunch Primarily weekdays, with occasional after-hours or weekend work during peak periods What This Role Is (and Is Not) This role is: Internal sales & purchasing operational support Process-driven and execution-focused Detail-oriented and system-heavy This role is not: A demand planning or pricing role A customer-facing sales position A management or growth-track role Why This Role Exists This position is critical to maintaining order velocity, data integrity, and operational control as order volume and teardown activity scale. Success in this role directly impacts customer fulfillment and internal efficiency.
