Job Overview The Education Operations Coordinator provides essential organizational and operational support across multiple platforms and systems. This role ensures scheduling, student access, course materials, and project deliverables are managed with accuracy and efficiency. As a key partner to the Education Team, the coordinator supports scheduling, operational and systems management, ongoing content updates, and ad hoc project requests. This position is ideal for a detail-oriented professional who thrives in a fast-paced, deadline-driven environment and is skilled at balancing diverse responsibilities while maintaining clear communication and precision. Working closely with the Director of Education Operations and Senior Director of Education, the Education Operations Coordinator plays a vital role in supporting the Education Team and fostering strong collaboration among instructors, center personnel, and corporate stakeholders. Responsibilities • Scheduling & Coordination · Collaborate with the Education Team to plan and manage instructor staffing across all scheduled classes network wide. · Coordinate event setup and oversee class schedules and instructor assignments. · Review center schedules on a rolling 90-day timeline and assign instructors to events as needed. · Address instructor-related questions regarding travel, center staff, and operational processes. · Respond to center requests regarding individual instructor schedules. Operational Support & Process Management · Provide operational support for the Education Team, instructors and students, including course access, roster management, and scheduling adjustments. · Respond to education-related inquiries and requests from the network, utilizing Smart, Salesforce, and MyOTA. · Assist the Director of Education Operations with operational responsibilities as needed. · Support the documentation, maintenance, and enhancement of policies and procedures. · Identify opportunities to streamline processes and support the smooth execution of education initiatives. Content Management & Project Support · Manage and maintain course content, materials, and digital resources across education platforms. · Oversee branded course documents and digital assets, ensuring consistency and accuracy. · Support ongoing content updates and ad hoc project requests related to educational materials. · Partner with education leadership, instructors, and cross-functional teams on ad hoc initiatives and projects. · Contribute to cross-departmental projects, ensuring timely completion and alignment with education goals. Experience, Education and Qualifications: · Bachelor’s Degree preferred. · Excellent written and verbal communication skills required. · Strong organizational and time-management skills with ability to manage multiple priorities simultaneously. · Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) required. . Strong e-mail management skills. · Prior experience with Salesforce or other LMS/CRM tools preferred. · Adaptability, coachability, and willingness to learn proprietary systems required.
