Job Summary We're looking for a dedicated and professional Administrative Coordinator to be the first point of contact for TPS Housing. This role is crucial for our daily operations, involving the management of incoming communications, the efficient intake of new claims, and the completion of fair rental values (FRVs). The ideal candidate is organized, a strong communicator, and able to handle a variety of administrative tasks. Key Responsibilities • Phone and Communication Management: Answer all incoming calls to the main company line, providing initial troubleshooting for inquiries, and directing callers to the appropriate personnel, handling all general inquiries with professionalism and excellent customer service, and monitoring incoming texts to ensure relevant parties are kept informed. • Claims Intake and Data Entry: Efficiently intake new claims received via phone and email. You will accurately enter all claim information into our company database and ensure all necessary documentation is gathered and attached to the file for assignment. • Fair Rental Value (FRV) Completion: Complete assigned FRVs in a timely and accurate manner by researching and gathering data to determine the fair rental value for properties. • Clerical and Administrative Support: Perform various clerical duties, including data entry, filing, and scanning. You'll also provide administrative support to the claims and accounting departments as needed. • Project Assistance: Helping to manage projects by tracking progress, monitoring timelines, and assisting with task completion. Requirements • A high school diploma or equivalent is required; an associate's degree or higher is preferred. • Proven experience in an administrative or customer service role is essential. • Strong verbal and written communication skills are a must. • Reliable internet and a dedicated home office with an IP address are required for this remote position. • Ability to maintain focus and actively engage in tasks with limited distractions is required. Skills • Proficiency in Google Workspace is preferred. • You should have excellent organizational and multitasking abilities, with the capability to work both independently and as part of a team. • Flexible and adaptable self-starter • Service oriented, proactive people person • Able to balance warm engagement with quick efficiency Preferences • Remote role with preference for Arizona, California, Oregon, or Utah based applicants due to the requirements of the 9am-6pmPT desk hours. • Being bilingual in English/Spanish is a plus! Job Type: Full-time Salary: • $42,000-45,000 annually. • Qualified bilingual candidates may be eligible for a 6% pay differential.
