We are hiring a highly organized, professional, and reliable Personal Assistant / Traveling Property Management Assistant to support our leadership team in day-to-day operations across our property portfolio. This role combines administrative support, fieldwork, and direct interaction with vendors, tenants, owners, contractors, and municipal offices. The ideal candidate is punctual, polished, detail-oriented, and comfortable traveling daily to different sites. Key Responsibilities Field & Property Management Support • Meet contractors, vendors, prospective tenants, owners, and stakeholders on-site • Conduct basic property inspections, take photos/videos, document conditions • Place and retrieve lockboxes, keys, notices, and signage • Oversee unit access for technicians, inspectors, and maintenance teams • Support move-ins/move-outs, walk-throughs, and turnover checklists • Verify completed work and report updates back to office and management • Provide excellent, professional representation of the company at all sites Township, Compliance & Paperwork • Handle township filings, permit submissions, certificate of occupancy (C/O) applications, smoke/inspection scheduling, and related follow-up • Drop off and pick up municipal paperwork, forms, documents, and fees • Maintain organized records for filings, approvals, and required documentation • Assist with compliance checklists and ensure proper completion of official forms Personal & Administrative Support • Maintain schedules, reminders, and daily task lists • Assist with email follow-ups, document preparation, and administrative tasks • Coordinate travel, meetings, and time-sensitive errands • Organize digital files, photos, and reporting through company apps • Assist leadership with operational tasks as needed to keep the business running smoothly Skills & Qualifications • Highly organized with excellent communication skills • Professional appearance and demeanor (interfacing with owners & officials) • Ability to manage multiple priorities and work independently in the field • Reliable transportation; comfortable traveling throughout NJ/NY/CT • Strong follow-through and problem-solving abilities • Tech-friendly: comfortable using apps for documentation, reporting, and scheduling • Property management or real estate experience a plus but not required • Must be dependable, trustworthy, and punctual Role Details • Full-time role combining administrative, fieldwork & personal support • Daily travel reimbursed (mileage reimbursement) • Flexible schedule depending on property needs • Competitive compensation based on experience • Opportunities to grow into higher operations roles within the company Who This Role Is Perfect For Someone who enjoys variety, meeting people, driving to different locations, and helping keep a fast-growing property management operation running at a high level.
