Our team handles everything from design and procurement to installation, helping clients create inspiring environments that elevate their spaces and brands. Key Responsibilities Administrative Support • Perform data entry, maintain accurate records, and manage project documentation for commercial projects. • Prepare, format, and review agreements, contracts, proposals, and vendor forms. • Organize digital files and ensure all project documentation is consistently stored in shared drives (Google Drive/Dropbox). • Assist with scheduling meetings, taking meeting minutes, and tracking action items. Project & Client Coordination • Support project managers and designers by maintaining client files and updating project trackers. • Prepare and send vendor requests, quotes, and follow-up communications. • Maintain and organize contact databases (clients, vendors, and partners) for both divisions. • Coordinate logistics between design, procurement, and installation teams. • Assist in preparing materials for business development events, such as trade shows, networking gatherings, and client presentations. Operations & Organization • Monitor and prioritize email correspondence, flagging important client/vendor requests. • Create and maintain standard templates (agreements, quotes, proposals, invoices). • Support office organization, process improvement, and internal communication between TNT Staging and TNT Commercial teams. • Participate in business development events when needed to represent the company and support event coordination. Qualifications • Strong organizational and communication skills. • Detail-oriented, with the ability to manage multiple projects simultaneously. • Proficiency with Google Workspace (Docs, Sheets, Drive) and/or Microsoft Office Suite. • Previous experience in interior design, staging, or related administrative roles preferred. • Languages: English (required); Russian (Required).
