As we expand our operations, we’re looking for a detail-oriented and dependable Administrative Assistant to support our team and help us stay organized and efficient. Position Overview: The Administrative Assistant will be responsible for providing day-to-day administrative support to ensure smooth internal operations and high-quality customer service. This role requires excellent communication skills, strong organizational abilities, and comfort working independently in a remote setting. Key Responsibilities: • Answer and respond to phone calls, emails, and online inquiries in a professional and timely manner. • Schedule and coordinate appointments, service calls, and job estimates. • Maintain calendars and communicate job schedules to field crews. • Input, update, and manage client data in CRM or internal systems. • Prepare invoices, process payments, and follow up on outstanding balances. • Assist with customer service tasks such as answering questions, providing quotes, and resolving basic issues. • Maintain digital filing systems, contracts, and job records. • Assist with preparing and submitting estimates, proposals, and service agreements. • Support social media manager or marketing team with light admin tasks. • Handle other administrative duties as assigned by management. Required Qualifications: • Proven experience as an administrative assistant, office assistant, or similar role. • Strong written and verbal communication skills. • Highly organized with excellent time management abilities. • Tech-savvy and proficient with tools such as Google Workspace, Microsoft Office, or CRM platforms. • Ability to work independently, manage multiple tasks, and meet deadlines. • Comfortable handling basic customer service duties over phone, email, and chat. • Reliable internet connection and a dedicated home workspace. Preferred Qualifications (Not Required): • Experience in the home services or property maintenance industry. • Familiarity with QuickBooks, Jobber, Housecall Pro, or similar service management software. • Bilingual (English/Spanish) is a plus.
