The Administrative Assistant will provide high-level administrative support to senior executives within the Tishman team, ensuring leaders can focus on strategic priorities while day-to-day operations run seamlessly. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a fast-paced, dynamic environment. In addition to executive support, the role will contribute to the smooth functioning of Tishman’s NYC office, reinforcing a professional and welcoming environment for employees and guests. Key Responsibilities Executive Support: • Provide proactive support to senior executives, including complex calendar management, scheduling, and meeting coordination. • Arrange and manage travel, itineraries, and logistics. • Prepare, edit, and finalize presentations, reports, correspondence, and meeting materials. • Track deliverables, deadlines, and priorities; ensure timely follow-up on action items. • Process and reconcile expense reports and invoices accurately. • Act as a liaison and trusted representative, handling sensitive information with discretion. • Build strong working relationships across teams to streamline operations and executive workflows. Office Services Support: • Welcome and assist visitors, ensuring a polished and professional first impression of Tishman. • Support day-to-day office operations, including supply management, vendor coordination, and conference room scheduling. • Assist with mail, courier, and package services. • Provide support for internal meetings, company gatherings, and office events. • Offer backup administrative support to other teams as needed. Qualifications • 5+ years of administrative experience, including direct support for senior executives; financial services, investments, or real estate experience preferred. • Strong organizational skills with the ability to balance multiple priorities in a fast-paced environment. • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). • Excellent written and verbal communication skills. • Professional demeanor with exceptional interpersonal skills. • Positive, resourceful, and team-oriented mindset. • High degree of discretion, reliability, and confidentiality. • Hospitality mindset with a hands-on, flexible, and solutions-oriented approach. • Experience in NYC Class A office environments and familiarity with building management systems a plus. Compensation & Benefits Compensation: Range is $75,000–$95,000 per year, depending on relevant experience and qualifications, and an excellent benefits package.
