WHO WE ARE LOOKING FOR The Child, Adolescent, School & Community-Based Services (CASCBS) team within the Department of Health and Human Services is currently recruiting for a detail-oriented and highly organized Administrative Specialist III. We're seeking a proactive and resourceful individual who thrives in a collaborative environment and is passionate about supporting programs that serve children, youth, and families. The CASCBS Administrative Specialist III supports program operations across data, budget, and contract management functions. This role provides administrative coordination to enhance planning, implementation, and efficiency, while also assisting with facilities, records, onboarding, and inventory for CASCBS programs. Key Responsibilities: • Serve as the primary liaison for CASCBS suite facilities and security matters, including emergency preparedness and equipment coordination. • Maintain equipment inventory, manage IT/software orders, and support recordkeeping for program and archive files. • Assist with quality control of electronic case files and data retrieval for reporting to HHS leadership and stakeholders. • Support onboarding and training compliance for new staff using internal systems. • Help develop and maintain databases, filing systems, and data tracking tools. • Assist with fiscal tasks, including reviewing invoices, reconciling transactions, and supporting budget tracking for CASCBS contracts. • Support contract and grant renewals, tracking updates, and preparation of related documents. • Perform other job-related duties as assigned. A background investigation will be conducted on the selected candidate prior to appointment and will be a significant factor in the hiring decision. Education: Graduation from an accredited college or university with a Bachelor's Degree. Experience: Three (3) years of professional administrative experience supporting program operations including, data, budget and contract management functions. Substitutions: 1. EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis. 2. EXPERIENCE for EDUCATION: Additional administrative, business, research and/or clerical experience will substitute for the required education on a year-for-year basis. The following preferred criteria will be used as screening questions: Do you have experience providing administrative support related to facilities coordination, including inventory and equipment management? Do you have experience with fiscal or contract support tasks such as reviewing invoices, reconciling expenses, or maintaining tracking spreadsheets? Do you have experience working with data systems or case management systems (e.g., eICM, ERP, Seamless, or similar platforms)? Do you have experience supporting program operations, including onboarding new staff, maintaining records, or supporting quality control of electronic files? Do you have experience developing or maintaining filing ysstems, databases or spreadsheets to support administrative operations?
