Candidates should have a bachelor's degree in Finance, Business, or a related field, or 5 years of relevant experience. A minimum of 2-4 years in investment operations or a similar role is required, along with familiarity with SMA and ERISA platforms.
About the role We are seeking a detail-oriented and proactive Investment Operations Associate to join our operations team. This role will focus on SMA (Separately Managed Account) operations, ERISA model management, and data analytics, recordkeeping and reporting workflows. The ideal candidate will have experience with investment operations, advisor relationships, portfolio management systems [such as Advyzon, Orion or Morningstar Office], a strong understanding of data analytics and pristine recordkeeping and reporting workflow experience. What you'll do Model Recordkeeping and Performance Reporting – Maintain model data across systems; ensure consistency and accuracy in reporting and audit trails. Monthly Account AUM Reporting – Compile and deliver detailed monthly reports for firm AUM calculations Advisor Relationship Management – Act as a liaison between the investment team and external advisors, facilitating clear communication, onboarding support, reporting needs and issue resolution. Account Coding Management – Review account reports to ensure accurate coding for SMA trading and billing SMA Account Trade Execution Management - Act as a liaison between the advisors and trade team to ensure trade requests are executed Quarterly 338 Fiduciary Reporting – Prepare and distribute ERISA fiduciary reports in accordance with regulatory and internal compliance standards. Quarterly SMA Account Billing – Calculate, review, and reconcile billing for SMA clients on a quarterly basis, ensuring accuracy and timeliness. 401K Model Reporting and Rebalancing – Support the creation of periodic performance reports for 401K models, and assist with portfolio rebalancing and trade execution. Database & Custodian User Access Management –Oversee user permissions and roles within Advyzon, Schwab and Fidelity Maintain integrity of investment data, including SMA operations and ETF attributes. Process Improvements – Manage all processes with an eye for improvements and future integrations or developments Assist the senior operations manager with data analytics, managing record keeping and reporting workflows analysis and validation of our data warehouse. Continuous database maintenance, upgrade implementation/training and following up on issue resolution. Assist with other data operational needs, such as data analysis and validation of our data warehouse. Follow up with data vendors as needed. Help organize and track data flow and deliverables to/from vendors/clients. Qualifications Bachelor’s degree in Finance, Business, or related field (or 5 years relevant experience) Required 2–4 years of experience in investment operations or a similar role. Familiarity with SMA & ERISA platforms, model portfolio workflows, and ERISA regulatory standards. Experience with performance reporting, billing reconciliation, and CRM/data systems. Strong attention to detail and organizational skills. Strong understanding of data management Comfortable working in a fast-paced, dynamic environment with cross-functional teams. Preferred Qualifications Proficiency in Advyzon (or similar), Morningstar Direct, Excel, and portfolio accounting platforms. Understanding of ETF and SMA model portfolio structures.
