3+ years event or conference management experience, preferably government or nonprofit, strong organizational and communication skills, knowledge of federal travel guidelines, and ability to travel onsite.
• Authorized to work in the US Required • Remote Position with occasional travel to various Meeting Sites in the US • Position is Subject to Contract Award POSITION DESCRIPTION: The Project Manager will lead the planning, coordination, and execution of in-person meetings for NOAA. This role ensures all logistical and onsite needs are met, acting as the primary liaison for venue, travel, technology, and event operations. RESPONSIBILITIES: • Plan and oversee logistics for two annual in-person meetings, lasting up to four days each. • Coordinate with hotels and venues to secure meeting space, negotiate contracts, and manage room blocks. • Ensure onsite readiness, including technology setup (A/V, internet, projection, microphones, power access). • Supervise room configuration, catering (continental breakfast, beverages), and participant materials. • Act as the point of contact for NOAA staff and attendees during meetings. • Monitor budgets, invoices, and contract deliverables related to meeting planning and logistics. • Support compliance with confidentiality, federal travel guidelines, and Section 508 accessibility standards REQUIREMENTS: • 3+ years of experience in event or conference management, preferably for government or nonprofit organizations. • Strong organizational and problem-solving skills, with ability to manage complex logistics. • Knowledge of federal travel guidelines and conference planning best practices. • Excellent interpersonal and communication skills for vendor and stakeholder coordination. • Ability to travel to meeting sites and work onsite for multi-day events.
