Therapy Treatment Team (TTT) is seeking a Psychiatry Client Care Coordinator to join our growing practice. This role is ideal for someone who is highly organized, detail-oriented, and passionate about supporting both patients and providers in a mental health care setting. As the first point of contact for many of our patients, you’ll play a vital role in ensuring a smooth and supportive experience throughout their care journey. You will manage scheduling, provide administrative support, assist with patient coordination, and collaborate with providers and other internal teams to deliver excellent patient-centered care. Key Responsibilities: • Answer incoming phone calls for psychiatry patients under TTT care. • Check in patients for in-person psychiatry appointments. • Manage scheduling needs for all psychiatric providers, including patient follow-ups, rescheduling, cancellations, and calendar adjustments. • Ensure timely handling of scheduling changes to maximize provider availability and patient access. • Support providers in the cancellation process, including patient outreach, communication with billing, and documentation in patient charts. • Assist patients with insurance changes and re-verifications, ensuring they understand benefits and costs. • Collaborate with the billing team to resolve patient billing concerns and ensure payments are processed. • Facilitate smooth transitions from admissions to psychiatric services. • Redirect therapy patient inquiries to appropriate staff or departments. • Collaborate with the records department as needed. • Support providers with prescription management, including completing PDMP checks, assisting with refill coordination, contacting pharmacies, and tracking provider communications. • Assist with coordinating lab services, scanning/faxing/emailing documents, and supporting documentation flow between patients, providers, and billing. • Review and respond to patient emails and phone calls within 1–2 business days. • Support records request/review processes, reminders for providers, and completion of necessary forms. • Send reminders to new patients regarding intake paperwork. • Assist with insurance authorizations and re-authorizations, including VA clients, as needed. • Positively engage with patients, including those with complex needs, to maintain professional and supportive communication. • Document all relevant administrative actions in patient charts. • Provide limited case management services, including crisis support and referral to appropriate services. • Assist providers with prior authorization requests. • Coordinate with billing to collect payments for forms, evaluations, and specialized documentation. • Ensure the psychiatric office opens at 9 AM daily and remains clean, presentable, and appropriately stocked with supplies. • Report IT issues and coordinate resolution with the administrative team. • Maintain compliance with required training, TTT policies, and procedures. Qualifications & Experience • Required: • Previous customer service experience. • Strong verbal and written communication skills. • Proficiency in Windows, Microsoft Office, and Google Suite. • Excellent skills in problem-solving, organization, time management, and multitasking. • Ability to work collaboratively with both patients and providers in a professional setting. • Preferred: • Experience in a healthcare or psychiatric setting. • Knowledge of insurance processes and billing. • Case management or mental health support experience.
