Job Description: Patient Care Associate (Front Desk Receptionist) Location: The Woman's Health Pavilion, Queens and Nassau County Offices About Us: The Woman's Health Pavilion is a well-established and expanding OB/GYN practice with locations across Queens and Nassau County. We are committed to providing exceptional patient care and are seeking a dedicated and organized Front Office Coordinator to join our team. Position Overview: As a Front Office Coordinator, you will be the first point of contact for our patients, responsible for managing appointments, patient records, and various clerical tasks to ensure the smooth operation of our practice. Your role is vital to supporting the delivery of quality healthcare by providing a welcoming environment for patients and efficient administrative support. Main Job Task and Responsibilities: • Greet, check in/ out patients, ensuring a warm and professional experience. • Register patients according to established protocols • Assist patients to complete all necessary forms and documentation • Ensure patient demographic information is accurate and up to date • Maintain and manage patient records • Move patients through appointments as scheduled • Answer and triage incoming calls and deal with inquires • Schedule patient appointments • Collect co-pays and outstanding balances • Obtain authorizations for sonograms, procedures and outside radiology facilities • Obtain medical records from previous doctors for patients • Respond and comply to requests for information • Complete other clerical duties as assigned Required Skills & Qualifications: • Clear and professional communication in both verbal and written English. • Strong attention to detail, including correct grammar, spelling, and legible writing. • Excellent telephone skills, with experience handling multi-line phone systems. • Ability to follow detailed oral and written instructions. • Basic math skills (addition, subtraction, multiplication, division). • Demonstrates compassion, patience, and tact in all patient interactions. • Adaptable to change with a proactive and positive attitude. • Ability to multitask effectively in a fast-paced environment. • Able to prioritize tasks effectively while remaining flexible to shifting demands. • Professional appearance and confident demeanor. • Typing speed of 35-40 words per minute. • Functional knowledge of HIPAA, compliance, and OSHA regulations. • * Ability to work efficiently with correctable vision and hearing within normal ranges.
