Position: Administrative Operations Coordinator Location: 2232 N Clybourn Ave, Chicago, IL 60614 Company: Pioneer Therapy / The Valens Group Schedule Monday–Friday: 9:30 AM – 6:30 PM (1-hour lunch) Every other Saturday: 4-hour shift A floating half-day may be used within the same week to maintain a 40-hour workweek. Flexibility is essential, and occasional adjustments may be required to meet operational needs. Role Overview: The Administrative Operations Coordinator is a pivotal support role designed for someone who is highly organized, proactive, and eager to grow within a fast-paced healthcare organization. This position works directly alongside the CEO to support and oversee the daily administrative operations of Pioneer Therapy. You will be trained across all operational functions with the goal of becoming a central, reliable point of coordination for the administrative team. This role is ideal for someone who thrives in a dynamic environment, enjoys problem-solving, and is motivated by the opportunity to learn every aspect of how a multidisciplinary therapy practice operates. Only applicants with billing and scheduling experience will be considered. Experience with Illinois Early Intervention (EI) is highly preferred. The ideal candidate is extremely flexible, thrives in a fast-paced environment, and adapts quickly to shifting priorities. Key Responsibilities: Operational Support & Coordination • Serve as a direct support to the CEO in managing the day-to-day administrative workflow. • Assist in overseeing administrative priorities, task delegation, and operational follow-through. • Help maintain smooth communication channels among therapists, families, service coordinators, and leadership. Scheduling & Administrative Systems • Learn and support scheduling processes across Early Intervention, private clients, and in-clinic services. • Track open referrals, waitlists, scheduling needs, and caseload adjustments. • Assist in maintaining updated therapist availability and coordinating placement of new clients. Billing & Insurance Support • Receive training in insurance and Early Intervention workflows, including pre-authorizations, benefit checks, and billing processes. • Collaborate with the billing and revenue cycle team to ensure accurate documentation and timely submission of claims. Onboarding & Internal Operations • Support onboarding for new hires by helping coordinate paperwork, credentialing steps, systems access, and training tasks. • Assist in maintaining internal documents, SOPs, and communication tools to ensure smooth administrative operations. • Help monitor systems for gaps, delays, or bottlenecks and bring solutions or concerns to leadership’s attention.
