Executive Assistant & Compliance Coordinator (CEO Support). Location: Charlotte, NC | In-Person. Schedule: Monday–Thursday, 10:30 AM – 5:00 PM (approx. 26 hrs/week) | W-2 Employee. Compensation: $18/hour to start, 90-day review with potential increase. About the Role: We are seeking a highly trustworthy, organized, and proactive Executive Assistant & Compliance Coordinator to work directly with the CEO and support operations across multiple service-based companies. Your primary responsibility is to function as the CEO’s Executive Assistant—the go-to person who helps manage their day, handle tasks, and make sure important work gets done. You will keep the CEO organized, prepared, and informed, while also serving as an extra set of eyes and ears across the organization. In addition to executive support, you will act as a accountability and quality check—helping ensure standards are being followed, paperwork is handled correctly, risks are noticed early, and follow-through actually happens. This role is ideal for someone who is driven, highly organized, strong with paperwork, and serious about getting results—not just starting tasks. Key Responsibilities: Executive Assistant & CEO Support: • Act as the CEO’s main point of contact for day-to-day support. • Manage the CEO’s calendar, appointments, and confidential communications. • Handle emails, calls, and follow-ups on behalf of the CEO as directed. • Prepare reports, summaries, and basic presentations for meetings and decisions. • Manage paperwork and documentation, including applications, licensing renewals, contracts, and professional files. Anticipate needs and remove small tasks from the CEO’s plate so they can focus on growth and leadership. Compliance, Quality & Standards Check: • Conduct site visits and check-ins with staff to ensure company standards, policies, and expectations are being followed. • Observe operations, identify potential risks, issues, or gaps, and report back to the CEO with clear notes. • Help develop or refine checklists, forms, and simple processes to improve consistency and quality. • Follow up on assigned action items with staff (without acting as their supervisor) to confirm tasks are completed. Document concerns, patterns, and improvements and bring forward solutions—not just problems. Operations, Paperwork & Office Coordination: • Keep office systems, files, and records organized across multiple entities. • Assist with onboarding logistics, scheduling, and communication with employees and contractors. • Coordinate meetings with external professionals, partners, and vendors. Work closely with the virtual assistant and other support staff to ensure paperwork, data entry, and follow-up are completed accurately and on time. Ideal Candidate: The ideal candidate: • Is extremely trustworthy and discreet with confidential information. • Is excellent with paperwork and details—forms, documentation, deadlines, and follow-through. • Is a strong problem-solver and critical thinker who can notice what’s off and help fix it. • Is highly organized and can keep many moving pieces clear and on track. • Is results-focused—measures success by what gets done, not just what gets started. • Can hold others accountable to standards respectfully, without needing a formal supervisor title. • Works independently once expectations are clear and doesn’t need constant reminders. • Stays calm under pressure, can prioritize, and meet deadlines. • Communicates professionally in person, by phone, email, and text. Is people-oriented, and genuinely interested in making the CEO’s role and the organization’s operations smoother and more effective. Preferred experience (not required, but helpful): • 2+ years in executive support, office management, compliance, quality assurance, or similar roles. Experience in behavioral health, social services, legal support, or healthcare operations is a plus. Compensation & Structure: • Starting pay: $18/hour. • 90-day review with potential pay increase based on performance, reliability, quality of work, and ability to manage multiple responsibilities. • Potential for performance-based increases and bonuses over time. • Capped mileage reimbursement for approved local travel between offices/sites. • Company-provided laptop/phone for work use.
