Job Title: Business Operations Assistant. Location: In-Office – Charlotte, NC. Hours: Part-Time (approx. 20–25 hours/week, Monday–Friday). Pay: $18/hour to start, 90-day review with potential increase. About the Role: We are an executive-led organization actively building three early-stage startup ventures in the areas of: • Mental health and wellness. • Community/justice-focused services. • Small-business support and funding. We are hiring a Business Operations Assistant to work closely with executive leadership and take on the day-to-day execution needed to move these ventures from concept into active operation. This is a hands-on, execution-heavy, problem-solving role. It is not a simple admin position. You will manage multiple projects at once, think critically, and make sure critical tasks, systems, and follow-ups are completed on time. You will receive direction on priorities, but you will be expected to take ownership of the work and move projects forward independently. Key Responsibilities: You will manage operations work across three startup ventures, including: Operations & Systems: • Set up and maintain simple operational systems (online forms, basic landing pages, intake workflows, spreadsheets, trackers). • Manage project and pipeline tracking in a project management tool (e.g., Monday.com), keeping tasks, owners, and due dates clear and up to date. • Translate high-level direction into concrete to-do lists, timelines, and action steps—and follow through. Leads, Outreach & Follow-Up: • Carry out outreach and follow-up with potential partners, service providers, and clients using scripts and templates. • Coordinate and schedule calls and meetings for executive leadership. • Track leads, referrals, deadlines, and targets so nothing falls through the cracks. Project Support: • Prepare brief summaries, one-pagers, and basic slide decks for internal and external use. • Document key points and decisions from calls/meetings and convert them into organized action items with due dates. • Work with a virtual assistant to ensure administrative tasks, data entry, and follow-up are completed accurately and on time. • Take on additional duties and special projects as needed to keep each venture moving forward. Ideal Candidate: The ideal candidate: • Is highly organized and can bring structure to multiple moving projects. • Is a strong problem-solver who can spot issues early and help find practical solutions. • Is a critical thinker who can understand the “why,” not just follow steps blindly. • Is comfortable working with deadlines, targets, and accountability. • Can juggle several projects across different services without losing track of details. • Learns quickly and adapts to new tools, processes, and industries with limited training. • Is proactive and resourceful, sees what needs to be done, and moves work forward independently once expectations are set. • Stays calm under pressure and can prioritize in a fast-paced environment. • Communicates professionally and clearly by email, phone, and video. • Is coachable, open to feedback, and able to think independently while respecting leadership direction. Preferred experience: 1–2 years in operations, project coordination, office management, customer success, recruiting/admissions, or similar roles.
