The Seattle Times, a family-owned news organization, is seeking a dependable and detail-oriented Administrative Assistant to support Rotary (the Seattle Times printing department) and Seattle Times Affiliate Newspapers in Yakima and Walla Walla. This position reports to the Senior Director of Affiliates and Operations and provides administrative support to other directors within the departments as needed. The role is focused on providing consistent, reliable administrative and operational support to ensure smooth day-to-day coordination across printing operations and affiliate newspaper activities. The ideal candidate is organized, methodical, and comfortable managing routine administrative work while balancing multiple priorities. This role requires discretion, sound judgment, and a steady approach to supporting leadership, operational teams, and cross-departmental initiatives. Work Location: This position is fully on-site at our Kent Printing Facility, with a standard Monday-Friday schedule. Responsibilities: • Provide administrative support to the Senior Director of Affiliates and Operations and other department directors, as assigned. • Support administrative needs for Rotary (printing operations) and two Seattle Times affiliate newspapers located in Yakima and Walla Walla. • Coordinate calendars, meetings, and scheduling; prepare agendas, take notes, and track follow-up items as needed. • Manage incoming communications, including email, phone calls, and correspondence, exercising judgment regarding priority and routing. • Prepare, edit, proofread, and format correspondence, reports, spreadsheets, and presentations with accuracy and consistency. • Assist with budget and expense tracking, invoice processing, and basic administrative reporting. • Provide support for payroll-related or timekeeping processes, as applicable. • Be familiar with and work within advertising, print management, and related operational systems in order to provide administrative support, coordination, and basic reporting. • Assist with coordination and logistical support for meetings, events, and convenings, including space reservations, materials preparation, and travel arrangements when required. • Maintain organized digital and physical filing systems, ensuring accuracy, accessibility, and confidentiality of records. • Track deadlines, deliverables, and ongoing administrative commitments. • Support special projects and cross-departmental initiatives as assigned. • Maintain confidentiality and professionalism in all aspects of the role. • Perform other related duties as assigned. Qualifications: Education • High school diploma or equivalent required; college degree or equivalent relevant experience. Experience • 2–4 years of administrative assistant or office support experience. • Experience supporting multiple leaders or operational teams preferred. • Prior experience in an operations, manufacturing, production, or multi-site environment is a plus. • Exposure to advertising systems, print management systems, or other operational software is a plus. Skills and Abilities • Strong organizational and time-management skills with attention to detail. • Clear and professional written and verbal communication skills. • Ability to prioritize tasks, manage routine workflows, and meet deadlines. • Demonstrated discretion and ability to handle confidential information. • Ability to work independently and collaboratively in a structured environment. • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. • Comfortable learning and working within multiple operational and administrative systems. • Reliable, steady, and professional approach to work. Compensation: The full salary range for this position is $58,000 to $79,700. We typically pay between $58,000 to $72,400, depending on experience and qualifications.
