Job Title: Brand and Social (B+S) Marketing COE Operations Lead Duration: Through all of 2026 – extended after that Pay: $100/W2 – 80 Hours PTO/Per Year Role Summary: The Sage Groups’ Client is seeking a Brand and Social (B+S) Marketing COE Operations Lead. This role is the operational backbone of the B+S team, responsible for driving strategic operational effectiveness and program management excellence. This role is responsible for developing, maintaining, and optimizing the processes, tools, and systems that enable the team to produce high-impact work efficiently and at scale. This individual will manage our team's project management infrastructure, lead strategic planning operations, manage operational reporting, and drive continuous process improvements to ensure the B+S team runs smoothly. Core Responsibilities: Strategic Planning & Resource Management: • Lead the B+S marketing activity planning process, collaborating with Leads to define key initiatives, determine capacity, and identify necessary trade-offs. • Lead the operational workstream for planning cycles (e.g., H1 Activity Planning), developing materials for COE forums, leadership reviews, and decision-making. Manage any/all off-cycle requests, prioritization & capacity planning. • Own and refine the team's project prioritization and tiering framework to define project scope and resource allocation. • Develop and maintain a central project roadmap and capacity tracker to provide a real-time view of all team priorities and bandwidth. Workflow & Tool Management: • Own the B+S team's intake in our central project management tool (Synapse), managing comms, ongoing prioritization, and capacity. • Manage the end-to-end workflow, including the stakeholder input/review process, implementation, and all change management. • Drive continuous process improvement and standardization across key operational workflows (e.g., creator engagement, social content approvals, brand safety vetting) to unlock team capacity. Program Management & Stakeholder Alignment: • Support B+S Leads with overall operations support, leading program management for high-visibility, cross-team, and cross-functional initiatives (including roadmap alignment forums). • Oversee designated PMs who manage campaign/activity-level execution (e.g., scheduling, status updates, post-launch reviews). • Lead preparation for the weekly COE Operations meeting, driving operational efficiency and team communication. Reporting & Insights: • Own and manage operational reporting dashboards, tracking key metrics such as project volume, request sources, team bandwidth, and project cycle times. • Analyze operational data to identify bottlenecks, resource gaps, and trends, providing regular insights to leadership to inform strategic planning. Operational Efficiency & Auditing: • Lead the team's approach to driving efficiencies and ROI analysis, partnering with B+S Leads and agencies to drive the adoption of AI, automation, and process improvements. • Lead regular audits of our extended workforce (TVC) resources, developing principles and providing formal recommendations to leadership for vendor consolidation and efficiency. Cross-Functional Enablement & Knowledge Management: • Develop and manage the "How to Work with Social" roadshow, including the workback timeline, deck, and rollout. Continuously updating to reflect process and system changes • Own and organize the team's central knowledge base, ensuring all briefs, documentation, templates, and key resources are current and accessible (e.g. Google Drive, Notebook LM instances, etc). Minimum Qualifications: • Bachelor's degree or equivalent practical experience. • 10+ years of experience in marketing operations, program management, project management, or management consulting. • Experience implementing and managing large-scale, complex projects and workflows with multiple stakeholders. • Strong understanding of change management principles and experience rolling out new tools or processes to a large team. • Experience with data analysis and visualization; ability to turn operational data into actionable insights. • Experience working in a fast-paced, global social, brand marketing, or agency environment. • Expertise in project management and proficiency with PM tools (e.g., Asana, Jira, Smartsheet, Airtable). • Exceptional organizational skills and meticulous attention to detail. • Strong communication and stakeholder management skills, with the ability to influence and align individuals across various teams and levels. • Demonstrated ability to analyze and optimize processes to drive efficiency and effectiveness.
