We are seeking an Administrative Project Specialist who will provide general administrative and coordinating support for activities and/or projects for a team, unit or principal. The Dean’s Office Administrative Project Specialist plays a pivotal role in supporting the governance and academic operations of the Johns Hopkins Bloomberg School of Public Health (BSPH). This position independently manages the logistics and documentation for BSPH governing body committees, departmental review committees, leadership search committees, and other strategic initiatives. Specific Duties & Responsibilities • Perform varied and multiple administrative support functions for recurring and ad hoc projects and/or specialized operations. • Develop administrative processes and workflows. • Assist in planning and development. • Provide reports and summaries as requested. • Resolve administrative issues and problems. • Assist with business and financial processing, e.g. budget reconciliation, expense reimbursements, payment of invoices, etc. • Foster institutional relationships. Collaborate and liaise with individuals across the institution. • Other duties as assigned. In Addition to the Duties Listed Above • School-wide Governance Committee Support: Independently staff School-wide governing body committees: Maintain agenda item roster; prepare comprehensive agenda packages; draft and edit committee documents such as minutes. • Departmental Reviews and Leadership Searches Committee Support: Provide independent administrative support for departmental review and leadership search committees by drafting and editing meeting minutes, processing job descriptions, and preparing invitation letters. • Strategic Initiative Management: Lead the planning, execution, and delivery of strategic initiatives, ensuring projects are completed on time, within scope, and aligned with institutional priorities. Minimum Qualifications • High school diploma or graduation equivalent. • Five years of progressively responsible experience providing administrative support. • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula. Preferred Qualifications • Bachelor’s Degree Technical Qualifications & Specialized Certifications • Highly proficient with Microsoft Office programs, including Outlook, Word, Excel and PowerPoint.
