Full Description

Candidate Profile Hilldrup has an immediate need for an individual whose primary responsibility is to ensure all hospitality projects under their management are executed consistently with written approval via purchase orders and/or signed project contracts. This individual will be the point person for hospitality projects and will have daily contact with clients, other project managers, vendors, warehouses, installers, freight carriers, and others involved with hospitality projects.     The Project Manager (PM) will manage hospitality projects typically consisting of freight management, warehousing, and/or installation. The PM will be involved in all aspects of the project, from pre-project planning, weekly status reporting, budget auditing, and delivery schedules, and finally ensuring the project is closed out.    Significant Responsibilities and Essential Functions 1. Effectively plans and manages assigned hospitality project(s) from award to completion. 2. Reports weekly to the client the status of all inventory and project progress via emailed inventory report. Updates project status in internal Hilldrup software. 3. Provides complete oversight of projects via the development and monitoring of: timelines, budgets and pull-lists; effectively supervises all project components and effectively communicates to all stakeholders, vendors, and clients. 4. Responsible for ensuring all additional services requested are outlined and agreed upon in a signed addendum prior to services being provided. 5. Ensures that levels of service, quality of work, and completion dates are met.   Responsible for tracking cost of project in progress to ensure that Hilldrup remains within budget and works closely with the billing personnel to track daily costs with the use of the current billing system.  6. Plans, coordinates, and prepares projects to ensure high levels of customer service, efficiency of warehouses and installation crews and maximizes profitability for Hilldrup.  7. Provides excellent customer-centric service, communication, and solutions. 8. Facilitates team and client meetings effectively, especially the intro meeting after being awarded a project. 9. Provides consistent updates to Director of Project Management and other project managers when coordinating projects, notifying them and/or team members of issues impeding the success of projects.  10. Works with freight carriers, project managers, warehouses, and installation crews to seamlessly manage all projects. 11. Manages electronic inventory system to pull and create inventory reports. 12. Registers new orders and update accordingly with any changes after initial registration is complete.     Minimum Job Qualifications Required * Two-year/four-year degree in business preferred or equivalent business experience. * Minimum of two years of experience in Project coordination, management, or related experience; * Good financial and business acumen; * Outstanding critical thinking and problem-solving skills; * Ability to effectively develop and maintain working relationships with internal and external stakeholders; * Ability to work autonomously and as a member of a team; * Exceptional organizational abilities and strong attention to detail; * Excellent written and verbal communication skills; * Adept regarding the use of technology; * Proficient with Microsoft office suite, especially excel; * Commitment to highest ethical practices; * Availability to work and respond on evenings and weekends. * Availability to travel occasionally for meetings, conferences, training and/or on-site activity with clients and/or vendors.   Incumbents will be expected to embrace and champion Hilldrup’s organizational competencies/values: • Empowered Accountability • Purposeful Agility • Fearless Communication • Uncompromised Integrity • Infectious Positivity • Unwavering Commitment   Hilldrup is an Equal Opportunity Employer.
