The Food Bank @ St. Mary’s Job Title: Accounting and Administrative Manager Position: Full-Time; 40 hrs. Exempt Reports to: Executive Director Pay Range: Salaried $82,500 Annually The Food Bank @ St. Mary’s is a nonprofit organization in the state of Washington with a close relationship to St. Therese, St. Joseph’s, and the Archdiocese of Seattle. The Food Bank operates to provide individuals and families in need of food and access to community resources to help them achieve self-sufficiency. The Food Bank’s programs include: Walk-In, Home Delivery, Baby and Toddler Bags, No Cook, Hygiene, Feeding Hungry Children, and a Mobile Food Bank. POSITION DESCRIPTION: The food bank Accounting and Administrative Manager reports to and supports the Executive Director and is primarily responsible for the food bank’s daily accounting/bookkeeping and administrative duties. MAJOR DUTIES AND RESPONSIBILITIES: • Maintain accurate accounting/bookkeeping of the organization’s financial transactions using QuickBooks and Donor Database (Little Green Light) • Processing of daily transactions of donations and prepare acknowledgment/receipt letters • Conducting banking activities such as checks, cash, and other monetary donations for deposit, making deposits, account posting, and vendor/client filing • Reconciling records/reports to third-party records such as bank statements/vendor invoices • Preparing invoices/checks for operational or organizational expenses • Producing monthly invoicing/reimbursements for contracts with The City of Seattle and Solid Ground • Participating in the annual accounting audit • Utilize client tracking software (PantrySoft) to produce monthly statistics on numbers of individuals served, pounds of food received and distributed, and other client related reports • Recording, tracking, and reporting on donated food from varying sources including local grocery stores, pea patches, Food Lifeline, NW Harvest, Solid Ground, and other food and grocery suppliers • Preparing various documents and reports in support of food bank programs and services • Acts as a Point of Contact for the daily operations of the food bank with a range of internal and external stakeholders including (but not limited to): staff, board, volunteers, clients, donors, grantors, media • Answering and directing phone calls, mail (incoming packages or deliveries), and emails to relevant staff • Coordinating volunteer groups for Walk-in and Home Delivery programs • Maintaining an adequate stock of office and operational supplies • Supporting Development and fundraising initiatives (website, appeals, annual report, and the Harvest Dinner • Additional accounting and administrative responsibilities as needed QUALIFICATIONS/REQUIREMENTS: The requirements listed below are representative of the knowledge, skill and/or ability required for this position. • Previous success meeting organization accounting, auditing, and administrative goals • Working knowledge of MS Office, QuickBooks, Excell, and donor database(s)(Little Green Light) • Ability to manage food related contracts including the City of Seattle, Solid Ground, Food Lifeline, & NW Harvest • Work within a set budget, produce monthly financial reports, and manage multiple tasks simultaneously • Familiar with/able to support website maintenance, email blast (Constant Contact) & social media apps. • Provide friendly, donor-centered customer service/represent the agency in a professional and positive manner • Experience supporting development initiatives including donor cultivation, recognition and stewardship • Keep current of food bank happenings/initiatives by attending staff meetings and other activities as needed • Excellent written and oral communication skills, have initiative, and be a contributing team player • Possess a valid Washington State Driver’s License and have a good driving record If interested in applying: email a cover letter and resume to bruce@thefbsm.org No phone calls, please.
