Job Summary We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support various administrative functions. The ideal candidate will possess strong communication, organizational, and multitasking skills, with experience in office management and book keeping. Duties • Manage calendar scheduling and coordinate appointments for staff and executives • Handle filing, record keeping, and document management with accuracy and confidentiality • Assist with payroll processing, budgeting, and expense tracking • Coordinate vendor management activities, including procurement and contract negotiations • Supervise administrative staff and provide training & development opportunities • Maintain office supplies inventory and ensure office equipment functionality • Facilitate communication across departments through effective phone etiquette and email correspondence Requirements • Proven experience in office administration or management roles with strong clerical or administrative background • Excellent communication skills, both verbal and written • Strong organizational skills with the ability to manage multiple priorities efficiently • Experience with QuickBooks, calendar management, and multi-line phone systems • Knowledge of vendor management, budgeting, payroll processing, and bookkeeping practices • Prior experience in event planning or medical office management is a plus • Supervising experience or team management capabilities preferred • Ability to handle confidential information discreetly • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) • Demonstrated ability to train staff effectively and foster a collaborative team environment This position is integral to maintaining an efficient office environment that supports the organization’s growth and success.
