Overview: The Production & Wholesale Operations Coordinator plays a critical role in ensuring the smooth flow of wholesale operations, production scheduling, inventory management, and supply procurement. This role is responsible for creating the daily and weekly production schedules, invoicing all wholesale orders, managing vendor purchasing for production supplies, and supporting the development, implementation, and maintenance of the Warehouse Management System (WMS). The ideal candidate is detail-oriented, organized, able to prioritize effectively, and comfortable working in a fast-paced warehouse environment. Key Responsibilities • Develop and maintain daily, weekly, and monthly production schedules based on order volume, staffing, and operational priorities. • Communicate schedule updates to production leads, warehouse staff, and management. • Track schedule changes, bottlenecks, and production delays, escalating issues when needed. • Ensure production output aligns with shipping deadlines for wholesale partners. • Create and send invoices for all wholesale orders accurately and on time. • Review wholesale orders for accuracy, correct SKUs, quantities, and pricing. • Work with the sales team to verify wholesale discount structures and special terms. • Reconcile invoicing discrepancies and work with accounting on payment issues. • Maintain organized order records and documentation for auditing purposes. • Monitor production material levels and place purchase orders as needed. • Build and maintain relationships with vendors to ensure timely supply delivery. • Review pricing, negotiate when necessary, and track supply cost changes. • Assist with cycle counts, inventory adjustments, and material usage reporting. • Work closely with warehouse leads to ensure accurate inventory forecasting. • Assist in the development, setup, and ongoing improvement of the WMS. • Maintain accurate product, SKU, and inventory data in the system. • Support team training on new features and best practices. • Identify system issues and collaborate with the WMS provider or IT to resolve them. • Help create workflows and documentation related to WMS functions. • Cross-Functional Operations Support • Collaborate with customer service, production, shipping, and sales teams to ensure wholesale orders are accurately fulfilled. • Provide operational reporting as needed (production capacity, order status, inventory risks, etc.). • Support continuous improvement initiatives to increase efficiency and reduce operational errors. • Assist with warehouse organization, process documentation, and SOP development. Required Skills & Qualifications • 2+ years of experience in operations, production scheduling, wholesale order management, or a similar role. • Strong understanding of warehouse or production workflows. • Experience with invoicing systems, ERP, WMS, or similar platforms. • Highly organized with excellent attention to detail. • Strong communication skills and the ability to coordinate across departments. • Analytical mindset with proficiency in Excel or Google Sheets. • Ability to multitask in a fast-paced, deadline-driven environment. Preferred Qualifications • Experience working in manufacturing or a warehouse environment. • Previous involvement in implementing or maintaining a WMS. • Basic understanding of supply chain and inventory management principles. • Prior wholesale order processing experience.
