Job Summary We are seeking a highly organized and detail-oriented Medical and Administrative Assistant to support our cash basis Health and Wellness practice. The ideal candidate will possess strong clinical and administrative skills, including experience with EMR systems, medical coding, document management and exceptional customer service. This position requires demonstrated skills and experience in medical reception, triage of incoming messages, facilitating clinical efficiency and proficiency with Adobe, Word and One Drive. This position also requires direct supervision by our physician. Medical certification or licensure will allow for expanded role with our growing practice. This 1099 contract position allows for flexibility in hours as well as profit share opportunity as you help our practice flourish. The initial training will be onsite with a transition to a hybrid position. Duties • Manage patient intake, appointment scheduling, and front desk operations using Dr Chrono EMR systems • Assist with medication refills and prior authorizations • Provide input for quality improvement of our clinical services and front office operations • Assist with medical billing, CPT coding, ICD-9/10 coding, and documentation review for compliance with HIPAA regulations • Handle phone calls with professional phone etiquette and multi-line phone system management, experience with concierage or cash basis practice preferred • Prepare and process medical documentation, health information, care plans, and reports • Facilitate compliance with medical licensure renewals and requirements • Maintain filing systems for medical records and ensure confidentiality in accordance with HIPAA standards • Perform clerical tasks such as data entry (including 10 key typing), document scanning, and office management duties • Manage documents via HIPAAtizer Qualifications • Proven experience in a medical office setting or clinic environment with familiarity in medical administrative support roles • Knowledge of EMR/EHR systems, experience with Dr Chrono EMR is a plus • Strong understanding of medical terminology, CPT coding, ICD-9/10 coding, Medicare procedures, and health information management • Exceptional conflict resolution skills and a passion for efficient team dynamics • Excellent organizational skills with attention to detail in documentation review and record keeping • Proficiency in computer skills such as Microsoft Office Suite (Word, Excel) , Adobe, and One Drive • Knowledge of HIPAA compliance standards for patient privacy and data security This position offers an opportunity to be an integral part of a growing Integrative Medicine and Psychiatry team committed to providing quality patient care while maintaining efficient office operations.
