Executive Office Administrator (EOA) Company: The Boeing Company The Boeing Company is currently seeking a Executive Office Administrator to support our Software Engineering team located in Seattle, WA. This position will focus on supporting the Engineering Test and Technology (ET&T) business organization. The Executive Assistant provides high-level administrative and operational support to three Executive Directors (EDs). This role is responsible for complex travel coordination, expense reporting and reconciliation, executive calendar and meeting management, communications support, office/resource coordination, and event logistics. The position requires strong judgment, discretion, attention to detail, and the ability to work effectively under limited supervision. Key Responsibilities Executive Travel Coordination & Logistics Coordinate and process domestic and international business travel arrangements for three Executive Directors using Concur Monitor traveler itineraries and logistics, proactively addressing schedule changes and disruptions Collect, compile, and present travel-related documentation for executive review and/or signature Maintain accurate travel records and provide status visibility to executives and stakeholders as needed Expense Reporting & Corporate Card Reconciliation Prepare and submit expense reports in Concur in a timely and accurate manner Reconcile corporate credit card charges; research and resolve discrepancies as needed Verify payments to corporate credit cards and support compliance with internal reimbursement requirements Calendar, Scheduling & Meeting Support (Outlook-Intensive) Manage and prioritize executive calendars in Microsoft Outlook to ensure efficient use of time Schedule and coordinate meetings across multiple stakeholders, priorities, and time zones Track and maintain conference room schedules to ensure availability and effective use of resources Coordinate meeting logistics (invites, agendas/materials as applicable, rooms/virtual links) Communications & Administrative Support Draft, edit, and maintain professional electronic and written communications (e.g., emails, memos, correspondence) Route and track incoming/outgoing communications to ensure timely dissemination and follow-up Communicate clearly and professionally with a wide range of internal and external audiences Track and maintain information related to department operations and business activities Office, Resource & Event Coordination Coordinate with appropriate focal points to support acquisition and maintenance of office resources Order and maintain office supplies and related inventory Plan and execute logistics for executive-level internal and external events (e.g., leadership meetings, site visits, customer/partner engagements) Tools & Document Support (Microsoft Suite) Create and format materials and trackers using Microsoft PowerPoint and Microsoft Excel Maintain organized documentation and files using Microsoft tools and established processes Leadership & Professional Support Provide guidance and direction to less experienced employees, as applicable Operate with discretion and professionalism while working under limited supervision Basic Qualifications (Required Skills/ Experience): 5+ years of experience making travel arrangements for multiple higher level executives 5+ years of experience managing schedules and calendars via Outlook Preferred Qualifications (Desired Skills/Experience): Previous experience providing administrative support for higher level/executive managers Experience processing invoices ensuring accuracy and timely submission Experience using Concur for travel arrangements and expenses Working experience with Microsoft Suites ( Power Point Excel and Outlook) Previous Executive Office Admin experience Ability to understand timing and urgency as well as delegation Travel: 10% Drug Free Workplace: Boeing is a Drug Free Workplace (DFW) where post offer applicants and employees are subject to testing for marijuana, cocaine, opioids, amphetamines, PCP, and alcohol when criteria is met as outlined in our policies.
