Role Description The Senior Development Specialist is a key member of the Development Department responsible for supporting the execution of fundraising and donor engagement initiatives through effective campaign coordination, CRM management, and data-driven reporting. This role oversees the day-to-day administration and optimization of the organization’s constituent relationship management (CRM) system, ensuring data integrity, accurate gift processing, timely donor acknowledgments, and reliable reporting. The Senior Development Specialist plays a critical operational role in implementing individual giving campaigns, supporting stewardship efforts, and analyzing performance metrics to inform fundraising strategy. Key Responsibilities • Support the growth of that organization’s individual giving efforts by assisting in the development and execution of fundraising campaigns designed to increase donor acquisition, retention, and average gift size. • Develops, writes, coordinates, and disseminates direct mail and electronic fundraising campaigns. • Ensure campaigns and communications are creative, engaging, and executed according to established timelines and project plans. • Records all gifts received and produces timely and accurate acknowledgment letters and tax receipts in accordance with organizational and regulatory standards. Donor Management • Oversees the day-to-day administration and maintenance of the department’s CRM, email marketing platform, and fundraising technology tools, ensuring data accuracy, integrity, and proper system functionality. • Administers the email marketing platform, including list segmentation, data hygiene, campaign setup, and execution of digital fundraising initiatives. • Maintains detailed records of prospect mailings and campaign activity to support performance analysis and list optimization. • Administers online giving platforms and tools (Fundraise Up, Double the Donation, FreeWill), ensuring proper configuration, tracking, and reporting. • Stays current on CRM best practices and donor data management standards to support continuous improvement of systems and processes. Performance Tracking/Reporting • Develops and executes standard and custom queries, reports, and lists with an emphasis on donor and prospect digital campaigns and mailings and revenue tracking. • Assists department in maintaining and reporting timely and accurate monthly, quarterly, and annual fundraising results. • Produces monthly reports for accurate reconciliation with accounting department. • Produces/coordinates gift reports to determine effectiveness of fundraising campaigns. Development Team Support • Participates in annual planning and budgeting; assists in setting department goals and objectives. • Supports Vice President of Business Development and Strategy and Director of Philanthropy with management/relationship of external development and donor services vendors. • Manages fundraising materials and collateral. • Coordinates with the Communications Department to develop collateral materials including but not limited to web-based communications, social media, solicitation packets, and other fund development activities. • Provides administrative and other support to the Director of Philanthropy as well as the Vice President of Business Development and Strategy. Donor Stewardship Support • Responds to inquiries from donors and updates CRM appropriately and timely. • Maintains and executes stewardship management programs (acknowledgment, stewardship, and recognition) that tracks donors from initial gift and beyond. • Tracks acknowledgment of individual gift entries to ensure timely, appropriate recognition and stewardship; identify and remedy inaccuracies in gift or pledge records. Qualifications • Bachelor’s degree in nonprofit management, marketing, communications, business, or a related field preferred. • Minimum of 3–5 years of experience in nonprofit fundraising, including direct mail and digital • Campaign execution, or comparable transferable experience in marketing, CRM administration, or donor/customer engagement. • Demonstrated experience working with CRM systems and fundraising or marketing automation platforms (Salesforce and/or Pardot experience preferred). • Strong technical proficiency in Microsoft Office, database management, email marketing platforms, and web-based applications. • Understanding of and commitment to the organization’s mission. • Highly organized with strong attention to detail and the ability to manage multiple projects and deadlines simultaneously. • Strong analytical and problem-solving skills, with the ability to interpret data and generate accurate reports. • Excellent written and verbal communication skills. • Ability to work independently while collaborating effectively with cross-functional teams. • Ability to adapt quickly to changing priorities, policies, and procedures.
