Job Title: Operations Analyst Location: Farmingdale, NY Employment Type: Full-Time Salary: $75,000 Job Description Top HVAC company is seeking an Operations Analyst to work closely with company leadership to evaluate, implement, and optimize business systems and internal processes. This role is ideal for someone who thrives at the intersection of operations and technology—someone who can analyze workflows, improve system efficiency, manage schedules, and integrate scalable solutions, including AI tools. You will also play a hands-on role in supporting scheduling efforts across teams, including coordinating meetings, setting up internal appointments, and ensuring leadership has full visibility into key operational activities. Key Responsibilities • Collaborate with leadership to identify operational needs and recommend appropriate software solutions. • Analyze and improve existing workflows, systems, and processes across departments. • Support the implementation, integration, and ongoing management of applications related to billing, project management, CRM, and internal communications. • Schedule and coordinate meetings, internal appointments, and cross-functional team check-ins; ensure calendars are up-to-date and conflicts are resolved proactively. • Assist leadership with managing task timelines and follow-up reminders across teams. • Research and evaluate AI-driven tools and automation opportunities to enhance efficiency and productivity. • Monitor day-to-day software usage, troubleshoot issues, and ensure tools are used effectively across teams. • Maintain documentation related to systems usage, workflows, schedules, and best practices. • Stay up-to-date with emerging technologies and recommend solutions that align with business objectives. Skills & Qualifications • Experience implementing or managing business software (CRM, billing systems, project management tools, etc.). • Strong organizational skills with demonstrated experience managing calendars, appointments, and team scheduling. • Analytical mindset with a solid understanding of business operations and systems. • Familiarity with AI tools and automation technologies is a plus. • Excellent problem-solving skills and attention to detail. • Strong communication and collaboration skills; comfortable working across departments. • Self-starter with the ability to manage multiple initiatives in a fast-paced environment. • Bachelor’s degree in Business, Operations Management, Information Systems, or a related field preferred.
