Travel and accommodations will be provided. This is a temporary contract role, not a full-time staff position. Position Purpose: The Freelance Operations Producer leads planning and execution of event logistics across the event lifecycle. This role manages crew data integrity and cross-departmental advance coordination to ensure a seamless experience for large scale event logistics. While this role oversees the master crew data and drives coordination, it collaborates closely with the Travel Manager, Credential Manager, Additional Operations Producers, location leads, client teams, other departments Responsibilities: • Crew Data & Systems • Own and manage crew data & systems, ensuring accuracy across all departments, while working within a 3 rd party data system. • Ensure data consistency of the staff grids to facilitate pulling accurate data for the various departments including but not limited to: travel (fights/rooming lists), crew catering numbers by location/day/time, access/credentials, office/desk allocation, radios/comms assignments, and other data that will be held within the master crew data grids. • Manage data collection of crew information from department heads and suppliers • Manage and ensure real time data reporting (at least twice a day exports) • Drive data integrity standards, security, and ensure updates are reflected across all system • Lead troubleshooting of data as required • Cross-functional Collaboration • Liaise with crew travel team in coordination with client travel (flights, ground transport - shuttles and rental cars, hotels) ensuring data is collected and distributed as needed. Flight, hotel and transport data to be managed by Travel team. • Liaise with F&B team ensuring data is collected and distributed as needed for crew catering counts regularly. • Liase with credential team to ensure access and zone assignments are collected. Credential system, planning, and zone allocation to be the responsibility of the Credential team. • Liaise with project teams to collect radio requirements / comms lists to track on the crew list. This role is not responsible for radio /comms distribution. • Liaise with Operations Producer to supply data for uniform counts and other crew operational details. • Support with developing and distributing crew communication and digital information including but not limited to assisting with development and distribution of the crew welcome packet, pre-departure informational, crew memos, etc. • Support Project Management team with reporting throughout the event lifecycle • Support crew health & welfare (local knowledge, etc) • Support Project Management team to create a sense of community and welcoming for all event crew and promote a positive hospitality environment • Support with weekly reporting • Other duties as assigned Position Requirements: • Have excellent interpersonal & communication skills, both verbal & written • Positive, "can do" attitude. • Bachelor's degree, 8+ years minimum of event management experience or similar. • Computer skills: Macintosh OS or Window platform using Microsoft Office, especially Outlook, Excel, and Powerpoint • Experience using AirTable, Google docs, or similar database and tracking software • Flexibility to work irregular hours, including evenings, weekends, and holidays, based on event schedules. • Evaluate approaches and discover efficiencies • Strategize, meet and devise plans with executives and core team members • Formulate strategy and direction • Play a key role in communications with all stakeholders and all departments. • Strong project management and budget experience. • Guarantee communication paths are frequent and open. • Ensure that all work conforms to pre-established specifications & standards of TAIT • Take initiative, multi-task, and work positively in a fast-paced environment. • Work with discretion, diplomacy, confidentiality, and tact in high-pressure settings. • Demonstrate a sense of urgency & act responsively. • Work independently as well as within a team environment. • Supremely organized, detail-oriented, and thorough.
