DuPage County law office has immediate need for experienced Trusts, Estates and Probate Administrative Assistant. This is a 6 month contract to hire opportunity, hybrid in Wheaton, IL. Ideal candidate: • Qualified candidates must be comfortable contacting clients via telephone during intake process as well as follow-up conversations via telephone and email during all stages of engagement in a professional manner. • Proven experience as an administrative assistant or in a similar role is required. • The ideal candidate will possess strong organizational skills, with the ability to prioritize tasks and delegate to meet deadlines, work independently with little supervision, and have excellent written and verbal communication skills. • Attention to detail and problem-solving abilities, ability to handle confidential information with discretion and strong customer service orientation are required. • Must have proficient knowledge of DocuSign, Zoom and Microsoft Suite with advanced knowledge of Word, Excel and Teams. Duties include: • Provide high level of administrative support to several law firm partners • Track all client engagements from first meeting through file close • Heavy calendaring and appointment setting • Heavy call volume (daily client and professional referral contact) • Prioritize, organize, and respond daily to heavy email volume • Sort, document/scan and distribute mail • Prepare, edit, send and follow-up of correspondence • Coordinate logistics for meetings and events, including room reservations, catering, and audiovisual setup • Meet and greet visitors, clients and potential clients • File intake and maintenance including heavy scanning of client documents • Witness and notarize document signings • Enter attorney time, review and revise monthly client invoices • Maintain office supplies and order as needed • Coordinate vendor visits
