Stoel Rives LLP has an immediate opening for a Senior Business Intake Specialist. The Senior Business Intake Specialist supports department leadership in monitoring, organizing, and processing new client and matter requests and enters data into the firm’s various information systems (e.g., accounting, conflicts, records management, and practice development databases). This position is responsible for ensuring accurate search criteria and filtering is applied in processing conflict of interest requests, and for returning conflicts reports to customers in a timely manner. This position reports directly to the Director of Business Intake and Conflicts. ESSENTIAL FUNCTIONS/RESPONSIBILITIES Processes requests for conflicts checks. Completes and delivers reports in a timely, thorough, and accurate manner. Coordinates requests relating to the processing of new business and regular maintenance of existing Client-Matter data. Enters Client-Matter information into various firm wide databases, including the accounting system and the Conflicts databases, as submitted by attorneys, practice assistants, and legal staff. Leada onboarding and ongoing intake and conflicts training programs for Practice Assistants, collaborating with the IT Training team as needed Organizes and leads special projects involving data entry and projects to clean up existing information in various firm data repositories. Assists department leadership with testing, documenting, and clarifying internal department policies and procedures. Assists the Intake team with management and annual review of the clearance process for new hires. Assists the Intake team with oversight of the creation and maintenance of iManage security policies. Participates as a member of the department team to support the needs of the Firm. Other tasks and duties as assigned. ESSENTIAL CAPABILITIES Ability to work cooperatively as a contributing member of a team Must demonstrate sound judgment when making decisions Must pay close attention to detail, possess a good client service attitude, and display high work standards Must be able to understand and comprehend instructions and analyze data Must have excellent oral and written communication skills Must be able to meet deadlines and work at a fast pace without supervision under conditions where there are rapid changes in the daily work schedule Must have experience with Windows operating system and ability to work in a networked-computing environment Proficiency with legal billing/conflicts systems preferred. Demonstrated ability to learn new applications required Physical/Mental Capabilities The ability to stand or sit for extended periods of time daily Ability to lift and carry up to 25 pounds Must be able to operate firm computer equipment and a touch tone telephone EDUCATION & EXPERIENCE College degree and at least 3 years experience working in the business intake and/or conflicts department of a law firm required. NORMAL WORK HOURS This is a remote position, non-exempt, and eligible for overtime compensation. Regular office hours are 8:30 - 5 p.m., Monday through Friday but may vary depending upon the needs of the department. How You Will Live Life Well at Stoel Rives: Compensation, Benefits, and More! The pay range for this position is $47,000 - $104,000; however, the base compensation presented to a candidate may vary based on skills and overall experience.
