The Operations Manager plays a critical role in overseeing the daily business and administrative functions of a fast-paced personal injury law firm. This position ensures efficient firm operations across HR, finance coordination, client services, and office management while supporting the Managing Attorney in strategic planning and execution. The ideal candidate is a proactive, detail-oriented professional with strong leadership, organizational, and communication skills — and experience managing the operational side of a legal practice. Reports to: Managing Attorney / Firm Owner Key Responsibilities 1. Firm Operations & Administration • Oversee daily business operations to ensure smooth, efficient firm performance. • Develop, document, and improve policies, systems, and workflows for greater productivity. • Manage case flow operations with attorneys and staff to ensure timely progress and excellent client service. • Oversee technology systems (case management, CRM, communications, etc.) and maintain data integrity and security. • Coordinate with accounting/bookkeeping on budgets, expenses, and financial reporting. • Manage vendor relationships, insurance renewals, service contracts, and compliance obligations. • Ensure compliance with legal ethics, trust accounting, and firm regulations. 2. Human Resources Management • Oversee recruiting, onboarding, training, and employee relations. • Develop clear job descriptions, performance review processes, and compensation structures. • Foster a positive, professional firm culture aligned with leadership values. • Manage payroll coordination, benefits, and employment law compliance. • Coach team members, providing guidance and professional development opportunities. 3. Executive & Strategic Support • Serve as the operational partner to the Managing Attorney in executing firm strategy. • Anticipate needs, troubleshoot issues, and ensure smooth execution of firm initiatives. • Prepare firm reports, dashboards, and key performance metrics. • Manage executive scheduling, meetings, and follow-ups on priorities and projects. • Support marketing, client retention, and referral partner initiatives. 4. Project & Systems Management • Lead and coordinate firmwide projects including software upgrades, workflow improvements, and process automation. • Set project timelines, assign tasks, and monitor deliverables to ensure on-time completion. • Collaborate cross-functionally with attorneys, staff, and external vendors. 5. Office & Facilities Management • Maintain an organized, professional office environment. • Oversee facilities, supplies, IT coordination, and vendor services. • Ensure adherence to data security, privacy, and confidentiality standards. Qualifications • Bachelor’s degree in Business Administration, Management, or related field (Master’s preferred). • 5+ years of experience in law firm operations or professional services management. • Strong understanding of personal injury law firm workflows (intake, case management, settlement, trial). • Proven leadership and team management skills in a small firm environment. • Excellent communication, organizational, and problem-solving abilities. • Proficiency in legal software (e.g., Clio, Filevine, MyCase, or similar). • Knowledge of HR best practices, payroll, and compliance requirements. • High level of professionalism, confidentiality, and initiative.
