Description DSHS BHHA Administrative Assistant 5 DSHS is seeking to hire an Administrative Assistant 5 (AA5) who reports directly to the Olympic Heritage Behavioral Health Executive Officer. In this role, the AA5 will greet visitors, answer calls from constituents, clients, legislators, and other agencies, and communicates with a wide range of stakeholders while handling confidential information appropriately. You will also be responsible for preparing timely, professional responses to correspondence and assignments, as well as creating briefing materials, talking points, and other documents for the Executive Officers to ensure effective communication and support of BHA’s mission. The Olympic Heritage Behavioral Health program, located in Tukwila, WA are part of the continuum of care for patients with a Behavioral Health diagnosis. Office hours: Monday-Friday 8am-5pm This role will be onsite at Olympic Heritage Behavioral Health in Tukwila, WA. Some of what you'll do: • Provide trainings on current and updated policies and procedures and correspondence changes to all clerical staff • Work closely with managers to ensure basic clerical needs are met • Provide confidential administrative assistance to the Executive Officer (EO) • Develop and process reports; coordinate information to enable administrative staff to meet internal and external deadlines; and maintain communications with other government entities • Proof correspondence for grammar and punctuation and finalize for signature • Screen calls for the Executive Officer • Participate in workgroups as requested • Prepare briefing materials, talking points, and other supporting materials • Manage constituent relations for Olympic Heritage, responding to, investigating, and resolving written and oral constituent complaints. • Serve as the primary liaison with client advocates offices, legislative offices, and the Office of the Governor or Secretary regarding constituent inquiries and complaints • Exercise delegated authority to assign and manage work from the Assistant Secretary’s office, EO’s office, legislators, and patients, ensuring deadlines are met and drafts are finalized for senior leadership signatures • Manage the EO’s complex schedules and calendars, coordinating with directors and supervisors to balance competing priorities and multiple projects within established timeframes Who should apply: Professionals with: One year as an Administrative Assistant 4 OR Two years as an Administrative Assistant 3 OR A Bachelor's degree in business administration, public administration or closely allied field; three years of administrative or supervisory experience Additional qualifying experience may substitute for education on a year-for-year basis. Graduate study may substitute for up to two years of experience on a year-for- year basis Key skills, knowledge and abilities: • Knowledge of State government organization and administrative procedures; federal and local government functions; office methods and procedures; research methods and data collection; state and agency functional and personnel policies. • Ability to speak before groups effectively; compile written reports; prepare professional, high-quality responses to correspondence and assignments ensuring timeliness and completeness of submission; obtain the corporation of other departments and other government agencies; work effectively with others. • Ability to multitask, prioritize work for self, balance workload, meet short deadlines, and work independently or cooperatively in a fast-paced environment with strong attention to detail. • Experience preparing high level documents, spreadsheets, presentations, and creating charts, graphs, and tables.
