Description In addition to the base salary listed above, employees assigned to a permanent duty station in King County will receive 5% premium pay added to their base salary The Opportunity: The Washington State Criminal Justice Training Commission (WSCJTC) is recruiting for an Administrative Assistant 4 to support the Advanced Training Division (ATD). This position serves as key partner to the division managers and provides direct supervision to a team of administrative staff who support multiple advanced training programs statewide. This position ensures proper completion of daily administrative operations, ensures consistent workflow across multiple programs, manages competing priorities, and contributes to division process improvements and operational excellence. Duties Duties Include (but are not limited to): • Provide direct administrative support to the Assistant Division Manager and assigned program managers. • Coordinate scheduling for meetings and other division assignments. • Provide strategic oversight of the Career Level Certification process, ensuring timely task completion and successful delivery of certificates. • Collaborate on special projects, attend meetings and professional groups, and record minutes as required. • Ensure high-quality delivery of division services, maintaining attention to detail and organizational excellence. • Provide direct supervision to four staff, overseeing daily tasks and projects. • Collaborate with program managers to understand program needs, delegate tasks to subordinates, and ensure they receive professional-level administrative support. • Identify opportunities for process improvements and workflow efficiencies, working closely with program managers and Division leadership to implement changes. • Promote growth and development of team members through mentorship, training, and guidance, equipping them to meet program goals. • Conduct performance evaluations, address performance concerns, review, and if necessary, update position descriptions, and communicate expectations to subordinates. • Foster a collaborative environment, providing support and assistance to subordinates to facilitate successful outcomes. • Provide comprehensive administrative support for ATD purchases, invoices, and travel requests, ensuring accuracy and completeness. • Reconcile division credit card statements, verifying expenses, identifying funding sources, and reporting in compliance with OFM rules and agency policies. • Coordinate travel arrangements for staff and contract instructors, including booking accommodations, transportation, and preparing itineraries. Qualifications Required Qualifications/Experience: • At least four years of demonstrated experience with progressing responsibility in professional office, clerical, or general administrative work. Formal education may substitute for experience (year for year). • At least two years of lead worker, supervisory, or managerial experience. • Demonstrate positive interpersonal and customer service skills to courteously deal with and to establish and maintain effective working relationships with Commissioners, co-workers, stakeholders, and the public. • Ability to work in a busy environment, with constant interruptions and distractions. Ability to multitask, adapt to changing priorities, and meet set deadlines. • Strong organizational and analytic skills with strong attention to detail required. • Initiative to act and be self-motivated. Ability to make independent decisions using sound judgement and complete tasks independently with minimal supervision. • Ability to communicate in a professional manner, both orally and in writing. • Understand and follow oral and written instructions. • Must be able to learn agency operating procedures and must be able to interpret, apply, and explain all applicable rules and regulations. • Ability to maintain confidentiality of restricted or private information and records. Effectively handle sensitive matters. Preferred/Desired Qualifications: • Associate’s degree in business and management, paralegal studies, communications, criminal justice, law and justice, or similar focus areas. • Demonstrated experience in positions requiring professionalism, personability, and the exercise of good judgment when dealing with customers, clients, and executives. • Demonstrated experience in positions require excellent verbal, written, presentation, and interpersonal skills essential for strong decision making and problem solving. • Ability to maintain confidential information, multitask, be highly organized, have strong problem-solving skills, work independently, and show initiative. • Demonstrated experience in positions requiring professional use of Microsoft Office Suite programs.
