This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Waccamaw Center for Mental Health, 164 Waccamaw Medical Park Drive, Conway, SC 29526. As the Administrative Assistant, working under limited supervision of the Office Manager, performs a variety of administrative duties to aid and support the Conway Business Office of WCMH. Serves as a team lead and assists in overseeing and managing staff in coordination with Office Manager and Clinic Director. Responsibilities for the Administrative Assistant • Ensure excellent customer service including being responsive to the need of patients/visitors and address people in a respectful manner. • Schedule patient appointment and monitor the schedules of assigned clinical and medical staff members to ensure maximum efficiency of patient care hours. Backfill any canceled appointments. • Confirm all new patients complete registration per OMH policy and quality • Verify all patient insurance information and update in CIS/EMR systems. • Comply with SC Law regarding voter registration and offer patient assistance with voter registration. • Adhere to Center, DMH and State Corporate Compliance policy, procedure and regulation. Helps ensure service area is CARF accredited. Maintain patient confidentiality as required. • Act as a backup and compile with Division of Financial Services policies and procedures including collecting payments and demonstrate fiscal responsibility by informing patients of their outstanding balances and requesting payment for services rendered. Validate that payment received from patient or payor source are posted timely to patient account. • Review portal daily to ensure patient receives reminder and reschedule patient as needed. • Perform other duties as assigned. Minimum and Additional Requirements • A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Preferred Qualifications • Bilingual abilities in English and Spanish (or another language) are a plus. • Prior work experience in a medical office setting. Additional Comments Post hire, employees must: • Have computer knowledge/experience. • Must be able to use office equipment including multi-line switchboard, copier, scanner, fax machine, shredder and scheduling software programs. • Must be able to sit for extended periods of time and be able to walk around the building, stoop, bend and operate a state vehicle. • Must be able to provide a 10-year DMV driving record. • Communicate courteously and effectively in person and over the phone with public and co-workers.
