Apply to join our team today! Job Duties: Provide general administrative support to the Financial Institutions division and division leadership. Perform data entry and maintain regulatory databases including, but not limited to, NDBF’s licenses, examinations, complaints, billing, and pending activities. Use professional communication through various channels with industry personnel and the public, while maintaining a high level of confidentiality. Process and monitor NDBF’s records retention program, including but not limited to correspondence, mail, forms, and reports in response to requests and inquiries from NDBF staff, industry, and the public. Maintain and organize records in accordance with agency records retention policies and document management standards. Support the digitalization and document retention initiatives. Support applicants through application or licensing processes; ensuring the application is completed appropriately and communication is conducted in a professional manner. Review, create, maintain, proof, and edit minutes, letters, forms, documents, and reports as necessary or as instructed to promote the effectiveness and efficiency of NDBF. Receipt checks and assist in preparing daily, weekly, and monthly billings for examination processes and applications. Assist in the support of examination billing processes, examiner reimbursement, travel requests, and other accounting procedures and processes, as instructed. Serve as a trained team member to the office and assist with public contact as the front desk receptionist. Participate as a team member in daily mail scanning and payment allocation duties. Other duties as assigned and within the scope of the classification. Requirements / Qualifications Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management Preferred Qualifications: One or more years of progressive administrative secretarial support experience in a professional office setting offering team support of multiple functions. Experience with DocuSign, Microsoft Office Suite including Word, Excel, PowerPoint, Outlook. Experience reviewing documents for completeness and accuracy. Other: Regular and reliable attendance required. Knowledge, Skills, & Abilities: Possess a willingness to learn new skills and duties, as well as a desire to be a positive member of a team. Ability to provide excellent customer service to both internal and external customers in support of NDBF's vision and mission. Ability to communicate clearly in person, by phone, email, text, or other correspondence in order to exchange information and ideas; summarize technical data and results of research and monitoring activities into reports; understand and apply instructions, policies, and directives. • Ability to review and proofread documents for correctness and completeness with a focus on attention to detail and accuracy. Knowledge of computer applications such as word processing, file management, record keeping, and database management. Proficiency in Microsoft Word, Excel, PowerPoint, Publisher, and Outlook. Also willing to received training to become proficient in WebEx, Microsoft Teams, and work with survey tools, or other software applications as assigned. Ability to respect and maintain the confidentiality required by the position. Ability to work independently as a self-starter continuously looking for ways to enhance efficiencies of your position. Also, a strong commitment to support the entire office as time and duties allow. This includes demonstrating an ability to adapt to change as directed.
