Operations & Logistics Specialist Are you energized by international trade, global logistics, and supporting high-performing commercial teams? We’re hiring an Operations & Logistics Specialist in Madrid, Spain, offering $60,000–$65,000 USD (approximately €51,000–€55,500)! You’ll work closely with Traders and Operations teams across the world, coordinating shipments, handling import/export processes, managing documentation, solving problems, and ensuring every transaction moves smoothly from origin to delivery. This role is perfect for an Operations & Logistics Specialist who is curious, detail-oriented, proactive, and not afraid of challenges. This full-time position is based in Madrid, Spain, and may require occasional travel depending on the needs of the company. What You’ll Do: General Responsibilities • Develop foundational product knowledge to make informed logistics and operational decisions. • Stay knowledgeable about global supply chains, geopolitical developments, and industry publications. • Build strong relationships with warehouses, freight partners, brokers, suppliers, and internal teams. Purchasing & Logistics Coordination • Prepare and enter purchase contracts into internal systems; route for approvals and send to suppliers. • Coordinate international shipments end-to-end, working closely with Traders on timing and requirements. • Manage imports, including customs clearance, drayage, port coordination, and warehouse logistics. • Book freight with carriers and freight forwarders; negotiate logistics rates when needed. • Handle shipping documents with the highest attention to detail -invoices, bills of lading, insurance certificates, certificates of origin/quality • Ensure shipments comply with all customs regulations, labeling requirements, and material specifications. • Assemble full cost breakdowns from origin to delivery for P/L analysis. Sales & Customer Support • Prepare and enter sales contracts into internal systems and obtain necessary approvals. • Manage certificates of analysis, customer specifications, and supporting documents for sales files. • Coordinate delivery schedules and ensure warehouses release material correctly and on time. • Monitor billing, coding of freight/warehouse invoices, and resolve shipment-vs-forecast variances. Risk & Inventory Management • Track inventory, warehouse stock, and positions across active books. • Monitor A/R exposure for assigned customers and ensure the team has up-to-date information. • Communicate with Traders, Risk teams, and brokers to support hedge orders (futures/derivatives). • Understand price and position risk within assigned books. Qualifications: • Professional fluency in English and Spanish. • Associate or Bachelor’s degree in Business, Finance, Accounting, Supply Chain, or similar. • 2+ years of experience in logistics, international trade, trading operations, transportation, or supply chain. • Strong math skills and high comfort level with Excel and Outlook. • Excellent communicator with strong relationship-building skills. • Highly organized; able to manage details, documentation, and multiple moving parts. • Independent worker with the ability to collaborate across levels and departments. • Detail-oriented, accurate, and a natural problem-solver. • Experience with AS400 or similar systems is a plus (training provided).
