POSITION OVERVIEW The Administrative Assistant for Outreach and Student Ministry will provide integrative support for two thriving ministries at St. Luke’s UMC. Our Student Ministry has 350 active students on its roster, reaching middle school and high school youth as well as college-aged young adults. With a team of dedicated staff and leaders, our Student Ministry has a positive reputation in the community for being fun, safe, and inclusive. St. Luke’s has dynamic Outreach & Justice ministries, with an array of community partners, large scale serving events, and strategies to make a sustainable difference in the lives of our neighbors both domestically and abroad. We generate resources, mobilize volunteers, and create partnerships to address five areas of impact: Housing, Food Insecurity, Education, Maternal and Child Health, and Social Justice. This role will provide support and behind the scenes leadership to ensure these ministries continue to thrive and grow in a sustainable way. This is a full-time hourly position that will split time between two departments with the weekly hour breakdown being dependent on ministry needs. This position will typically be 8:30-5:00 Tuesday-Friday and 7:30-2:30 on Sunday.It is expected that some nights and weekends will be necessary depending on the ministry calendar, and adjustments will be made accordingly during those weeks.   RESPONSIBILITIES Support the staff and volunteers in Outreach & Student Ministries through a variety of administrative tasks, including:  • Behind-the-scenes event coordination • Create and follow-up with event registrations • Room reservations and coordination with Facilities teams • Coordinate as necessary with food service, tech support, and security • Secure and communicate with outside vendors • “Day-of” set-up and administrative support • Helping us get “Sunday-Ready” • Setting up info tables and/or signage • Printing and collecting materials • Recording attendance • Cleaning up/taking down after Sundays • Basic database management • Keeping groups up-to-date • Creating and updating records • Creating event registrations and basic reports • Communications • Following up with new connections using database system • Sending weekly follow-up messages to new contacts • Monthly and weekly newsletters • Social media (Youth) • Text updates (Youth) • Administrative support as needed • Managing background checks for all volunteers  • Managing and coordinating Safe Sanctuaries training for volunteers. Maintaining database to keep volunteers current on training  • Tracking and reporting expenses/budget including reconciling monthly Visa bills  • Mailings • Checking voicemails • Creating signs and graphics in Canva • Maintaining organization and appearance of the Lodge (Youth building) • Administrative support for Connections Books & Gifts (Outreach) • Assisting with Square support, running monthly reports, adding/removing authorized users • Cash deposits • Ordering supplies, name badges, making price tag labels, and other admin support • Manage the meetings and resources for housing & utility assistance program (Outreach) • Serve as a resource for general inquiries about Outreach & Student Ministries- be a friendly “first touch” to the congregation and community from these ministries  Staff Participation  • Attend/participate in Team Meetings • Attend/participate in weekly Staff Chapel   QUALIFICATIONS Demonstrate passion about the Christian faith, actively seek to grow in personal relationship with God and be committed to the mission and purpose of St. Luke's. Attend St. Luke’s services regularly.
