Job Description The Operations & Program Support Manager plays a central role in ensuring SSDN functions effectively, efficiently, and with strong internal systems. This position will initially split time between operations support and programmatic work associated with the Environmental Finance Center with the long-term focus on supporting operations. This position combines strategic operations management, support for internal operations, and in-depth support for ongoing programs. The Operations & Program Support Manager oversees day-to-day organizational operations; manages internal systems, tools, and workflows; and provides high-level support to staff and leadership. This role is ideal for a highly organized, systems-oriented leader with program coordination expertise who thrives in a remote environment and is motivated by mission-driven work in sustainability and local government. The Operations & Program Support Manager will support new and existing programs, including the creation and management of databases, data collection and the development of a resource library for the Environmental Finance Center with long-term support of daily programmatic operations such as meeting scheduling, facilitation, etc. Applicants must reside in the one of the following states: Alabama, Arkansas, Florida, Georgia, Louisiana, Mississippi, North Carolina, South Carolina, Tennessee, Virginia, or Washington, D.C.. Responsibilities Organizational Operations Design, implement, and continuously improve internal systems, processes, and tools that support a fully remote team. Oversee document management, retention, and electronic filing systems (Google Drive), ensuring consistency, access, and data integrity. Ensure compliance with organizational administrative requirements, including tax-exemption filings, vendor registrations, Federal grant reporting and reimbursement systems, as well as renewals, and deadlines across multiple states. Coordinate calendars, scheduling, meeting logistics, travel planning, and internal communications for staff and leadership as needed. Support ordering and management of office and remote-work supplies. Lead and manage other organizational operations, as assigned. Program Support Oversee and support scheduling and logistics for meetings, webinars, conference calls, and workgroups, such as member meetings, recurring peer-to-peer discussions, and training cohorts. Lead workgroup calls for Federal Technical Assistance Programs, ensuring that all participants are engaged and have the opportunity to contribute, and take notes. Ensure smooth execution of virtual events, including technical setup and troubleshooting. Support management and quality control of SSDN’s CRM database (Salesforce), including reporting and data accuracy of engagement with stakeholders Sustain systems for tracking stakeholder engagement metrics and supporting data-informed programming. Assist with the planning and logistics for SSDN’s Annual Meeting and other in-person member events. Lead the creation and maintenance of virtual libraries to organize content provided by other staff and members, including for the SSDN Multimedia Environmental Finance Center. Communications & Technical Systems Oversee administrative and operational communications support, including drafting and reviewing internal external documents and communications. Support Communications Manager and other staff on the development of outreach materials and initiatives for various programs including the Multimedia Environmental Finance Center, Ensure staff are supported in the effective use of organizational platforms (e.g., Google Workspace, Zoom, Asana, Slack, Salesforce). Troubleshoot and resolve technical or systems-related challenges impacting staff productivity. Financial & Organizational Coordination Support tracking and management of the organization’s operational budget. Support staff with tracking and management of operational aspects of grant-funded budgets and internal financial tracking, as needed. Coordinate invoicing for philanthropic and federal grants as well as vendor and local government dues in collaboration with program managers and directors. Human Resources & Team Support Support staff onboarding and offboarding processes in coordination with various staff and HR partners. Engage with third-party vendors for the selection of benefits providers and continued coordination. Promote an equitable, inclusive, and well-supported remote-work culture. Leadership Team, Executive Director & Board Support Support preparation for Board of Directors meetings and retreats, as needed. Support Leadership Team workflows, cross-team coordination, and internal communications. Monitor organizational calendars and prepare materials in support of leadership priorities. Knowledge, Skills, and Abilities Required of the Successful Employee: Demonstrated ability to lead and manage complex, multi-workstream projects with strong organizational skills and exceptional attention to detail Systems-oriented thinker with experience designing, implementing, and refining operational and programmatic processes to improve efficiency, effectiveness, and equity Proactive, solutions-focused leader who anticipates organizational needs, identifies risks and opportunities, and develops practical responses Ability to manage competing priorities, shifting timelines, and cross-functional dependencies in a fast-paced, remote nonprofit environment Strong written and verbal communication skills, with the ability to translate complex information for diverse audiences including staff, members, partners, and funders High level of professionalism, sound judgment, and discretion, with the ability to manage sensitive and confidential information Strong analytical and problem-solving skills, including experience using data and software tools to track performance, identify trends, and inform decision-making Demonstrated ability to conduct high-quality research and synthesize findings into clear, actionable recommendations Technologically adept, with the ability to select, implement, and support digital tools that strengthen collaboration, accountability, and operational effectiveness Proficiency with Google Workspace and Microsoft Office Suite; experience using project-management and collaboration tools such as Asana and Slack Familiarity with data and mapping tools such as Airtable and GIS preferred; working knowledge of Salesforce a plus Ability to plan, facilitate, and lead effective virtual meetings and conversations using platforms such as Zoom and Google Meet Strong relationship-building skills, with experience coordinating across teams, supporting staff performance, and fostering a collaborative, inclusive team culture Ability to identify challenges early, gather and analyze relevant information, and implement timely, well-reasoned solutions in alignment with organizational goals
