Position Summary: The Administrative Receptionist/Clerk will perform a variety of administrative and clerical duties including reception, data entry, filing, administrative support to the Executive Administrative Coordinator and, as assigned, for other organizational staff. Authority: The Administrative Receptionist Clerk is selected and supervised by the Executive Administrative Assistant to the Executive Director. Responsibilities: • Answer phones, take messages, and direct calls to the appropriate staff, and provide basic information as requested • Greet and direct clients and make sure they are comfortable while waiting • Perform daily data entry and maintenance of logs and files • Assist the Intake Specialist in reviewing client's documents to ensure they have all the necessary documentation required for a successful interaction • Assist the Intake Specialist in confirming clients meet program income eligibility guidelines to receive services • Provide administrative support to meet needs of the Agency and all organizational programs • Participate in Agency functions, including department meetings, retreats, and outreach events • At times, may be asked to drive to run errands in preparation for meetings, events, etc. • Maintain the work area, office, reception, and waiting area clean and current • Maintain the reception and entrance bulletin boards, updated and appealing • Ensures adherence to Springfield Partners for Community Action policies, procedures, and standards • Accurately and effectively represent Springfield Partners for Community Action and its mission • Acts in the Agency's best interest and enhances the image of Springfield Partners for Community Action in the public eye. • Perform other duties/projects as may be assigned under the administrative scope of this department. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty of responsibilities satisfactorily. Education and/or Experience: • High School Diploma or equivalent required • A minimum of one (1) year in an administrative capacity with administrative data entry and reception experience, preferably with a non-profit agency • Strong interpersonal and communication (written and oral) skills and the ability to represent Springfield Partners to the public and clients in a compassionate and respectful manner • Must possess exceptional organizational skills with great attention to details • Able to maintain sensitive and confidential information • Able to operate basic office equipment (fax, copier, postage meter, multi-line phone systems) • Ability to undertake and manage multiple tasks and projects in a fast-paced environment with minimal supervision • Pleasant and engaging personality • Sensitivity to, and ability to work with low-income, diverse populations • Excellent computer skills (Word, Excel, Access, PowerPoint, Outlook, etc.) • Must be flexible and able to work weekends and evenings as may be required Language Skills: • Ability to speak multiple languages, English and Spanish, highly desired • Ability to read and write correspondence • Ability to effectively identify information and respond to inquiries from employees, clients, and the general public • Attentive to details; ability to proofread and edit documents.
