Administrative Assistant Administrative Assistant Job Description Keene & Peterborough, NH | In-Person $20$25/hour Are you an organized, proactive Administrative Assistant who thrives on keeping teams connected, operations running smoothly, and details handled with care? At Spoonwood Dental Partners, our administrative team plays a vital role in supporting both our Keene and Peterborough practicesand we're looking for someone who enjoys being the behind-the-scenes glue that helps great care happen every day. This is a hands-on, in-person role ideal for someone who enjoys variety, collaboration, and making a meaningful impact across multiple teams. Variety & Ownership No two days are the same. From coordinating meetings and managing supplies to supporting onboarding and internal communications, this role offers meaningful variety and autonomy. What You'll Be Doing Administrative & Team Support • Partner with Practice Managers to support office operations across both Keene and Peterborough locations • Schedule and coordinate departmental, quarterly, and doctor lunch meetings • Manage Practice Manager calendars and assist with internal and external meeting coordination • Organize vendor lunch-and-learn sessions following PM approval • Manage marketing-related requests and assist with website updates • Coordinate new hire photos and maintain up-to-date staff listings Office & Operations Management • Order and manage office supplies, cleaning supplies, uniforms, and other items (primarily via Amazon) • Coordinate Gem graphics orders and clinical supply needs • Handle delegated office errands (bank deposits, post office, certified mail, etc.) • Coordinate team birthday cards and monthly birthday treats Patient & General Support • Assist with standard patient inquiries using a friendly, service-oriented approach • Support scanning, faxing, email management, and general office communication needs Logistics & Miscellaneous • Assist with onboarding and offboarding processes • Pick up meals for meetings and support in-office events • Prepare reports and administrative documentation as requested Schedule & Location • In-person role supporting both Keene and Peterborough locations • Frequent travel between offices required (mileage reimbursed when applicable) Qualifications & Requirements • Reliable personal vehicle for regular travel between Keene and Peterborough • Strong organizational skills with the ability to multitask and prioritize effectively • Comfortable working in a fast-paced, team-oriented environment • Proficiency with office software and technology (email, scheduling tools, office suites) • Excellent communication and follow-through Physical Requirements • Ability to stand, walk, and sit for extended periods • Ability to lift and carry office supplies up to 25 pounds • Ability to perform repetitive tasks such as data entry, filing, and office equipment use About Spoonwood Dental Partners We're more than a dental practice; we're a people-first, community-rooted organization that values collaboration, organization, and professionalism.
