Job Summary/Company: Sparks Group is searching for an Administrative / Fundraising Assistant to support an active and vibrant Roman Catholic religious Order with a long legacy of traditional parish ministry. This position requires you to work alongside priests, brothers and lay colleagues. Position Overview: The Administrative / Fundraising Coordinator plays a key role in advancing our mission by managing gift processing, donor relations, and fundraising communications. This position is ideal for someone who is detail-oriented, highly organized, and passionate about making a tangible impact in service to the Catholic Church. Key Responsibilities: • Maintain accurate and up-to-date donor records. Perform daily data entry, proofing, processing and reporting to ensure donor intentions are clearly represented. • Write thank you letters to donors, answer phones and respond to emails. • Process donations, send acknowledgment letters and tax receipts, fulfill donor requests (including mass cards, premiums, and printed materials), and manage inventory of premium items. • Respond to donor inquiries via phone, email, and online platforms promptly and professionally. • Monitor, evaluate, and report on the effectiveness of fundraising campaigns. Generate detailed daily, weekly, and monthly reports and executive summaries for leadership. • Support and maintain the integrity of donor databases and online giving systems. Identify opportunities for process improvements and implement procedural changes as appropriate. • Cultivate and maintain meaningful relationships with donors and prospective donors, escalating significant donor issues to leadership. • Ensure compliance with all fundraising regulations, best practices, and organizational policies. • Research grant and matching fund opportunities and prepare proposals and reporting (grant writing experience is a plus but training is provided). • Safeguard the confidentiality of donor information and adhere to professional ethical standards. Qualifications & Skills: • Strong understanding of and respect for the Roman Catholic Church, its mission, and religious life. • Experience in fundraising, donor relations, or gift processing, preferably within a non-profit, religious, or educational setting required • Familiarity with MS Office Suite. • Knowledge of US Postal regulations and mailing procedures. • Demonstrated attention to detail, organizational skills, and ability to manage multiple tasks simultaneously. • Excellent written and verbal communication skills, including professional correspondence for donors. • Ability to handle confidential and sensitive information with discretion and integrity. • Proven track record of supporting or managing successful fundraising campaigns. • Commitment to a long-term role within a faith-centered organization. Work Environment: • High-volume donation processing throughout the year, with peak periods during Easter and Christmas. • Combination of routine gift processing (approximately 70% of daily activity) and fundraising initiatives such as direct mail campaigns, website updates, and donor communications. • Opportunities to support grant writing and campaign development under mentorship.
