Description LOCATION: Wayne County Healthy Communities - Hamtramck, MI 48212 POSITION SUMMARY: The Vaccine/Medical Assistant position offered by SEMHA, plays a critical role in ensuring safe, compliant, and efficient vaccine management at Wayne County Healthy Communities. This position will share in the responsible of all aspects of vaccine handling, storage, documentation, VFC (Vaccines for Children) program compliance, and clinical support. The Vaccine Medical Assistant will ensure accurate inventory, effective communication with state immunization teams, when authorized to do so, to ensure compliance with federal and state guidelines, and supports clinical operations to provide high-quality patient care. Vaccine Assistant Essential Functions • Serve as a secondary point of contact for MDHHS VFC program and private vaccines. • Maintain full compliance with VFC requirements, including: • Annual completion of VFC training for primary and backup coordinators. • Help to ensure all staff involved in immunizations complete required training. • Maintaining active knowledge of VFC program rules, storage and handling requirements, and documentation standards. • Ensure all temperature monitoring equipment (digital data loggers, probes, Sensa Phone, etc.) is: • Set up, calibrated, and function correctly. • Downloaded and reviewed daily and weekly per VFC requirements. • Documented on required logs. • Oversee proper storage, handling, and monitoring of VFC and private vaccines. • Maintain and document twice-daily temperature logs for all vaccine storage units. • Respond to temperature excursions, complete documentation, and obtain stability letters as required. • Ensure proper implementation of vaccine emergency response procedures. • Conduct weekly and monthly vaccine inventory counts to ensure accuracy. • Submit vaccine orders through MCIR or state portal according to VFC timelines. • Rotate stock using first-expire, first-out (FEFO) method. • Monitor for expired or expiring vaccines and complete return/wastage documentation. • Maintain secure storage with proper labels and segregation of VFC vs private stock. • Prepare vaccines daily for clinic use and ensure staff use proper documentation workflows. • Ensure all vaccines administered are documented in EHR & MCIR within the required timeframe. • Perform periodic audits to ensure compliance with CDC documentation standards. Medical Assistant Essential Functions • Provide direct patient care duties including Rooming patients, obtaining vital signs, administering vaccines, preparing injections. • Retrieves/reviews patient charts ensuring all test results, labs, or other documentation is included in the patient chart before the patient is turned over to the provider for examination. • Ensure that medical equipment/instruments are cleaned and sanitized prior to and after use • Set-up exam/procedure room with necessary equipment, instruments, PPE, etc. as required by provided • Performs minor procedures i.e., suture removal, staple removal, colonoscopy, ear lavage, etc. • Provides patient immunizations and/or injections and records such in MICR and the patient record. • Performs testing & lab tests and any follow-up work such as EKG or blood draws • Completes any necessary forms for clinician review and does follow-up such as prescription call-in or submission to the patient, completing a referral or putting in lab orders • Performs other functions as determined by the medical staff Job Qualifications • Strong knowledge of immunizations, storage/handling protocols, and temperature monitoring. • Ability to interpret VFC policy and communicate requirements to staff. • Proficiency with EHR systems and MCIR immunization registry. • Ability to work in a fast-paced FQHC environment with diverse populations. • Excellent communication, teamwork, and customer service skills. • Valid driver’s license and reliable transportation is required Education And Experience • High School Diploma • One (1) year experience in a healthcare environment • One (1) year experience providing office reception services • Possession of a Medical Assistant Certificate is required • Previous experience with vaccine management or VFC compliance strongly required. • Completion of a Certified Clinical Medical Assistant program preferred.
