Full Description

We are seeking a detail-oriented and proactive Administrative Assistant/Coordinator to support our legal team with immigration case management and administrative operations. This role is essential in ensuring the smooth handling of immigration processes, maintaining accurate records, and providing timely communication with employees and stakeholders. Key Responsibilities: • Case & Document Management: Maintain and update immigration case files, organize supporting documents, and archive closed cases per policy. • System & Data Entry: Manage records in internal systems (e.g., Connect), set reminders for immigration milestones, and run basic reports or exports. • Communication & Coordination: Liaise with employees to collect documents, respond to routine inquiries, and schedule meetings with attorneys or HR. • Filing & Compliance Support: Prepare and mail USCIS notices, assist with Public Access File (PAF) maintenance, and track delivery of filings. • Technical & System Support: Add users to internal systems, troubleshoot access issues, and maintain accurate contact information. • Team & Operational Support: Book visa or biometrics appointments, draft standard communications, and support cross-office collaboration Qualifications: • Prior experience in an administrative or legal support role, preferably in immigration or a law firm setting • Strong organizational skills and attention to detail • Excellent written and verbal communication skills • Proficiency with Microsoft Office and case management software • Ability to manage multiple tasks and meet deadlines in a fast-paced environment • Discretion in handling confidential information Compensation: $18-20/hr Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications. #SONINY
