Job Title: Administrative & Office Coordinator FLSA Status: Non-Exempt (Hourly) Wage Range: $26-$31/hour depending on experience and qualifications Job Posting Closing: February 27, 2026 Interviews Anticipated: March 4-11, 2026 SMR Architects is seeking a detail-oriented and proactive Administrative & Office Coordinator to support daily operations and help maintain a welcoming, organized, and mission-driven workplace. This role is essential to the rhythm and culture of our firm. As the first point of contact for clients, partners, consultants, and community members, you help set the tone for who we are. Internally, you provide organizational support that allows our architectural teams to focus on delivering thoughtful, community-centered design. The Administrative & Office Coordinator supports partners and staff by managing front-of-house operations, coordinating office logistics, and assisting with internal documentation and scheduling. The ideal candidate is organized, adaptable, detail-oriented, and understands the importance of fostering a positive and productive office environment. Key Responsibilities Office & Front Desk Operations • Welcome clients, consultants, vendors, and community members in a professional and welcoming manner • Answer and direct incoming phone calls • Maintain a clean, organized, and inviting reception and common areas • Manage conference room scheduling • Route and resolve general inquiries and information requests Office Administration & Logistics • Retrieve, open, and distribute incoming mail; prepare outgoing mail and schedule courier deliveries • Order and maintain office supplies and coordinate with service vendors as needed • Support general office organization and daily operations • Assist with onboarding logistics for new staff • Help coordinate occasional internal events or gatherings Document & Staff Support • Assist with formatting and word processing of business documents and project contracts • Support partners and staff with administrative needs • Maintain digital and physical filing systems Required Qualifications • Prior experience in an administrative or office support role • Professional, positive demeanor with strong interpersonal skills • Excellent written and verbal communication skills • Strong organizational and time-management abilities • Ability to prioritize tasks and work through interruptions • Proficiency in Microsoft Outlook and 365 • Self-motivated with strong follow-through • Ability to work both independently and collaboratively • Willingness to learn and grow with the company Preferred Qualifications • Experience in a professional services or design environment • Interest in mission-driven or community-focused work • Experience with project management or office coordination software – Ajera by Deltek SMR Architects is a 34-person architectural firm with a mission to design, preserve, and advocate for affordable housing.
