Working closely with the Vice President of Finance, you’ll refine processes, increase visibility, and make it simple to reconcile property and portfolio-level financials. This is a hands-on role with significant opportunity for advancement. You’ll handle the daily details, but you’ll also design better systems, create clarity in reporting, and play a key role in scaling the financial operations of the company. Key Responsibilities Accounting Operations • Oversee accounting for 20+ entities, including commercial, residential, and construction projects. • Manage all daily accounting functions in Yardi, ensuring alignment between Yardi, Chase, Bill.com, and other financial systems. • Complete monthly and year-end reconciliations for all bank accounts and general ledger activity. • Track and analyze recoverable vs. non-recoverable expenses, coordinating chargebacks and credits for tenants. • Monitor cash flow and prepare monthly financial statements (P&L, balance sheet, cash flow) for each entity and the consolidated portfolio. • Maintain organized and accurate digital records for audits and compliance reviews. Accounts Payable • Review, code, and process vendor invoices with accuracy and timeliness. • Maintain vendor files, including W-9s, ACH details, and certificates of insurance. • Manage invoice approvals, payment scheduling, and proper documentation across entities. • Issue Form 1099s and coordinate with external accountants for year-end reporting. • Forecast payables and manage liquidity planning to ensure seamless cash flow. Accounts Receivable & Tenant Accounting • Maintain rent rolls and lease data in Yardi. • Bill tenants for rent, CAM, and other recoverable expenses according to lease terms. • Record payments, monitor delinquencies, and communicate promptly with tenants regarding outstanding balances. • Reconcile tenant ledgers and provide clear, transparent statements for internal and tenant review. Construction & Intercompany Accounting • Manage accounting for renovation and construction projects, including job costing, vendor payments, draws, and intercompany activity. • Ensure construction-related payables are properly coded and allocated. • Reconcile intercompany loans, transfers, and shared expenses across entities. Compliance & Administration • Renew business entities and ensure all state filings, property taxes, and insurance renewals are completed on time. • Coordinate with external CPAs for annual tax filings and reports. • Support payroll processing, ensuring compliance with withholdings, unemployment, and insurance requirements. Qualifications • Bachelor’s degree in Accounting, Finance, or related field (CPA a plus, but not required). • 5+ years of accounting experience, including at least 3 years in commercial real estate. • Yardi experience required (GL, AP/AR, and reporting modules). • Proficiency with QuickBooks, Bill.com, Divvy, and Excel.
